About The Position

Assist the Weatherization Admin Manager and Weatherization Coordinator with the overall organization and functioning of Weatherization. This includes answering phones, file processing, data entry, client education, and maintaining calendars. The role requires protecting customer/family privacy and holding all information obtained in confidence. Specific duties involve accurate and timely completion of program documentation, reports, and record-keeping using approved systems. The specialist will assist with contractor recruitment, onboarding, and participation, and maintain customer data. Responsibilities also include creating various inspection packets and contractor job files, handling telephone calls pleasantly, participating in professional development, and scheduling client appointments. Other duties may be assigned.

Requirements

  • Minimum of a high school diploma.
  • One-year previous experience with office work.
  • Proficient computer skills (Word, Excel, Outlook, Internet).
  • Ability to prioritize workload and multitask.
  • Self-directed and able to complete assigned tasks.
  • Willing to accept new challenges daily.
  • Ability to communicate with staff, customers, and contractors effectively and pleasantly.
  • Organizational skills.
  • Ability to type with average speed and accuracy.
  • Reliable transportation.
  • Valid driver’s license.
  • Proof of insurance.
  • Pass State Police criminal clearance check.
  • Pass MMCAA’s “Insurance Carriers” driving record review.
  • Successfully complete a Criminal History check.

Responsibilities

  • Assist the Weatherization Admin Manager and Weatherization Coordinator with overall organization and functioning of Weatherization.

  • Complete all required program documentation, reports, and record-keeping accurately and in a timely manner using approved systems and procedures.
  • Create, compile, balance, enter, and prepare program documents.
  • Assist with contractor recruitment efforts and support contractor onboarding and participation within the Weatherization Program.
  • Enter and maintain customer data.
  • Create pre-inspection, energy auditor, and quality control inspection packets.
  • Create and compile contractor job files.
  • Handle telephone calls and relate to customers effectively and pleasantly.
  • Participate in personal and professional development activities to include staff meetings, conferences, and training opportunities.
  • Schedule client appointments.
  • Perform other duties as assigned.
