About The Position

The Warranty Administrator is responsible for the prompt and accurate submission of manufacturer and after-market warranty claims and the resulting collection of all warranty claim revenue. This role requires adherence to all manufacturers' and after-market warranty companies' policies and procedures, establishing and maintaining productive relationships with warranty representatives, and ensuring the accuracy and completeness of warranty repair orders. The administrator will manage the submission, tracking, and resubmission of claims, aiming for a high acceptance rate and efficient receivables management.

Requirements

  • Strong organizational skills and attention to detail.
  • Two years previous automotive/administrative work experience.
  • Minimum of eighteen years of age.
  • Ability to pass pre-employment screens (background and drug test).

Responsibilities

  • Prompt and accurate submission of manufacturer and after-market warranty claims.
  • Collection of all warranty claim revenue.
  • Adherence to all manufacturers and after-market warranty company policies and procedures.
  • Establish and maintain productive relationships with manufacturer and after-market warranty representatives.
  • Review warranty repair orders for proper completion, accuracy, and legibility.
  • Ensure all necessary diagnostic forms accompany repair orders as per policy.
  • Determine and enter applicable labor operation codes, failure codes, and other administrative data.
  • Submit warranty claims using available administrative tools.
  • Ensure all deductibles are properly documented for customer collection.
  • Review all returned and/or rejected warranty claims and prepare for resubmission.
  • Maintain a record of all submitted, returned/rejected, or paid claims and their status.
  • Strive to maintain a minimum warranty claims acceptance rate of 95%.
  • Manage warranty receivables to no more than 10 days outstanding.
  • Work with shop foremen, lead technicians, and service advisors to discuss warranty claims.
