About The Position

Sheehy Auto Stores is currently seeking an experienced Warranty Administrator. The Warranty Cancellation Clerk is responsible for processing warranty and service contract cancellations, preparing refund calculations, maintaining accurate records, and coordinating with lenders, customers, dealerships, and warranty providers to ensure timely and accurate cancellation processing. This position requires strong attention to detail, customer service skills, and basic accounting knowledge.

Requirements

• High school diploma or GED required.
• 1–3 years of dealership, finance, warranty, or administrative experience preferred.
• Strong computer skills, including Microsoft Excel and dealership management systems ( Reynolds & Reynolds).
• Excellent organizational and communication skills.
• Ability to handle confidential customer information.
• Detail-oriented with strong follow-through skills

Responsibilities

• Process warranty, GAP, maintenance, and service contract cancellation requests.
• Verify required documentation for cancellation eligibility.
• Calculate prorated refunds according to contract terms.
• Submit cancellation requests to warranty administrators and providers.
• Monitor cancellation status and follow up on outstanding claims.
• Post refund transactions and maintain accurate records.
• Reconcile cancellation schedules and reports.
• Communicate with customers, lenders, finance managers, and warranty companies regarding cancellation status.
• Research and resolve discrepancies related to refunds and payments.
• Maintain compliance with company policies and state regulations.
• Prepare weekly and monthly cancellation reports.
• Assist accounting and finance departments with related administrative duties.
