About The Position

The Warranty Administrator has the responsibility for the prompt and accurate submission of manufacturer and after-market warranty claims and the resulting collection of all warranty claim revenue. This role involves adhering to all manufacturers and after-market warranty company’s policies and procedures, establishing and maintaining productive relationships with warranty representatives, and ensuring the accuracy and completeness of warranty repair orders. The goal is to maintain a high claims acceptance rate and minimize warranty receivables.

Requirements

  • Strong organizational skills and attention to detail.
  • Two years previous automotive/administrative work required.
  • Ability to work with shop foremen, lead technicians, and service advisors to discuss warranty claims.
  • Must be a minimum of eighteen years of age.
  • Must be able to pass pre-employment screens (background and drug test).

Responsibilities

  • Submit manufacturer and after-market warranty claims promptly and accurately.
  • Collect all warranty claim revenue.
  • Adhere to all manufacturers and after-market warranty company’s policies and procedures.
  • Establish and maintain productive relationships with manufacturer and after-market warranty company representatives.
  • Review warranty repair orders for proper completion, accuracy, and legibility.
  • Ensure all necessary diagnostic forms accompany repair orders as per warranty policy.
  • Determine and enter applicable labor operation codes, failure codes, and other required administrative data.
  • Submit warranty claims using available administrative tools.
  • Ensure all deductibles are properly documented for collection.
  • Review all returned and/or rejected warranty claims and prepare them for resubmission.
  • Maintain a record of all submitted, returned/rejected, or paid claims and their current status.
  • Strive to maintain a minimum warranty claims acceptance rate of 95%.
  • Aim for no more than 10 days of warranty receivables.
