About The Position

Pape' Material Handling, a premier capital equipment dealer in the West, is seeking an organized, energetic, and customer-focused Warranty Administrator / Service Dispatcher to join their team in Medford. This role is key in keeping service operations organized, responsive, and moving forward by coordinating technician schedules and priorities while administering warranty claims and working with vendors to recover all available reimbursement for eligible repairs. The ideal candidate enjoys creating order, solving problems, communicating with a wide variety of people, and delivering a high level of customer service while managing multiple priorities.

Requirements

  • Excellent communication, customer relations, organizational, and data entry skills.
  • Strong attention to detail and the ability to perform at a high level in a fast-paced, team-oriented environment.
  • Computer proficiency, including experience with Outlook, Word, and Excel, along with the ability to learn new systems and programs.
  • The ability to manage multiple tasks, changing priorities, and time-sensitive follow-up with accuracy and professionalism.

Nice To Haves

  • Experience in service operations, dispatching, warranty administration, or administrative support in a technical or equipment-based environment is preferred.
  • Technical knowledge is a plus!

Responsibilities

  • Schedule and prioritize field and periodic maintenance technicians to best serve customer needs.
  • Monitor service work in process and communicate updates to technicians, service leaders, and customers.
  • Open work orders, maintain accurate service records, and complete timely data entry and documentation.
  • Receive, prepare, submit, and track warranty claims in accordance with vendor requirements.
  • Work directly with manufacturers and vendors to resolve claim questions and maximize warranty reimbursement.
  • Keep the Service team informed of warranty work in progress, claim status, approvals, and follow-up needs.
  • Respond professionally to customer inquiries and help coordinate service-related requests and next steps.
  • Support a fast-paced, team-oriented environment by balancing changing priorities with accuracy and urgency.
  • Invoicing of vendors statements
  • Conduct weekly work meetings with service leaders
  • Support Parts department as backup on an as needed basis
