About The Position

The Warehouse Clerk, Engineering Administrative Assistant, is responsible for shipping and receiving all inventory, maintaining tug repair parts and supplies, assisting the SPE in maintaining the containment area and environmental cage, and maintaining company vehicles. This role also involves collecting, organizing, and logging all data, sample boxes, and shipping Tug lube and coolant samples. The engineering administrative assistant will greet, welcome, and direct visitors and notify company personnel of visitor arrivals. This role handles all engineering administrative tasks across tug, fleet, and various departments within the organization. Key interactions include company employees, executive leadership, senior client leadership, mariners, industry associations, and 3rd party vendors.

Responsibilities

  • Shipping and receiving all inventory.
  • Maintaining tug repair parts and supplies.
  • Assisting the SPE in maintaining the containment area and environmental cage.
  • Maintaining company vehicles.
  • Collecting, organizing, and logging all data, sample boxes, and shipping Tug lube and coolant samples.
  • Greeting, welcoming, and directing visitors and notifying company personnel of visitor arrivals.

  • Administering procedures of the environmental cage, Tug disposals, and disposal log.
  • Assisting project engineers in logging formal documents for traceability of the company and audit standards.
  • Assisting project engineers in managing engineering digital document storage organization structures.
  • Assisting SPE with warehouse and facility hurricane preparations.
  • Cleaning and maintaining the environmental cage for inspection.
  • Collecting, organizing sample boxes, maintaining sample spreadsheets, and shipping Tug lube and coolant samples.
  • Conducting monthly facility inspections with company reps, making repairs, and reporting to SPE.
  • Ensuring all paperwork for environmental pickup is in order, and records are kept accordingly.
  • Ensuring proper use and disposal of the Tug crew’s waste in the Environmental Cage; training Tug crew as needed.
  • Ensuring scheduled maintenance, repairs, and lube changes are completed for company vehicles.
  • Implementation of Tug data for engineering systems of equipment components, specific to Tug (class).
  • Keeping the engineering office in a tidy, sanitary, and organized condition.
  • Loading battery cores when placing new battery orders, ensuring core charges are deducted from accounts, and issuing PO numbers.
  • Maintaining and scheduling repairs to office and building spaces.
  • Maintaining annual load tests on shoplifting beam, tools, and fuel hose.
  • Maintaining the collection, storage, and disposal of all battery cores from Tugs.
  • Maintaining paint can drying “yellow box” and proper disposal of all dry paint cans.
  • Maintaining security procedures for keys, parts, the cage, and toolboxes.
  • Maintaining supply and inventory of all repair and specialty tools.
  • Maintaining tags and annual state inspections, washing and detailing the inside of vehicles as needed.
  • Maintaining the building, facility, grounds, and warehouse for housekeeping and cleanliness.
  • Maintaining, scheduling repairs, and inspecting all emergency generators, pumps, and air compressors.
  • Ordering and stocking rags for tug use and issuing purchase order (PO) numbers upon delivery.
  • Performing monthly tool and parts inventory and reporting for approval by SPE.
  • Picking up and delivering parts, supplies, and large items (appliances, water heaters, etc.).
  • Preparing and sending daily, weekly, and monthly vehicle inspections and mileage reports.
  • Receiving, stocking, inventorying, and issuing rope and lines as requested by operations.
  • Reporting all parts “issues and transfers” for approval by SPE.
  • Running parts in town and to the shipyard or other Ports; picking up needed supplies.
  • Scheduling all pickups and issuing PO numbers for dirty filters, oily rags, bilge slops, paint waste, and light bulbs.
  • Scheduling and ensuring proper disposal of used tires and submitting proper paperwork for them.
  • Scheduling and maintaining the facility's annual fire inspection (smoke detectors & extinguishers).
  • Scheduling and ordering for the supply of new tires as needed for tug fendering.
  • Stocking storeroom, and kitchen items.
  • Supporting the engineering staff with daily responsibilities.
  • Assisting the management and/or executive team when requested to complete special projects and complete all assignments within a negotiated time frame established by the department manager.
  • Completion of other duties as assigned by the department manager, as it relates to the program and position.
