About The Position

The Volunteer Services Specialist will assist the VP of Marketing and Business Development in ensuring the timely completion of duties and assignments as outlined in the Policy & Procedures Manual. This role involves creating communications, maintaining records, supporting fundraising and special events, coordinating volunteers, and ensuring compliance with various requirements.

Requirements

  • High school diploma or general equivalency diploma (GED)
  • One year related experience and/or training
  • Influenza vaccine during influenza season (Nov. – March)
  • Valid driver’s license with satisfactory Motor Vehicle Record (MVR)
  • Auto insurance per company policy
  • Reliable personal transportation
  • Proficient in Microsoft Office (Word, Excel, and PowerPoint)
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to respond to questions from clients, volunteers, and the general public.
  • Ability to write simple correspondence.
  • Ability to speak professionally to patients, physicians and others in the organization via telephone and personal communication.
  • Skilled at prioritizing tasks.
  • Ability to multi-task and deal with frequent interruptions.
  • Ability to maintain professional appearance and communication at all times.

Responsibilities

  • Create flyers and volunteer newsletter.
  • Maintain all volunteer files to include CMS required documents.
  • Ensure mandatory paperwork is current.
  • Assist VP of Business Development with all Columbus Hospice fundraisers.
  • Help organize and coordinate special events to include employee morale events.
  • Coordinate volunteers visiting nursing homes and work with their activity directors.
  • Manage volunteer retention efforts, including sending birthday/anniversary cards and assisting with volunteer events (retreat/in-services/new volunteer training).
  • Coordinate all volunteer assignments, including follow-up communication with patients and families.
  • Assist with volunteer evaluations.
  • Be proficient in all department duties and responsibilities, providing backup when needed in the volunteer department.
  • Contact patient family members within 3 working days.
  • Keep documentation of all volunteer recruiting and retention efforts.
  • Maintain contact with volunteers by publishing newsletters and making phone calls as needed.
  • Attend IDG meetings and document volunteer involvement in the EMR system.
  • Oversee use of food bank access and records, retaining records for 3 years and submitting required reports.
  • Take all reasonable precautions to maintain privacy and non-disclosure of any confidential information about patients, other staff members, and the general operations of Columbus Hospice.
  • Represent the company in a positive and professional manner at all times with others, e.g., co-workers, management, vendors, and customers.
  • Supervise and direct volunteers with assignments to ensure satisfactory completion of duties.
  • Complete all job responsibilities in a thorough and complete manner, utilizing good judgment in all aspects of the job.
  • When unsure of a directed task or any part of job responsibilities, proactively seek the assistance of immediate supervisor.
  • Participate in staff development (15 hours of CEUs) annually.
  • Assist with special projects, as requested.
  • Perform all other job duties as may be assigned.
