Requirements

  • 1+ years' experience in volunteer services, customer service, or human resource management, or a combination of related education and work experience preferred.
  • Experience recruiting and working with volunteers or previous experience as a volunteer preferred.
  • Possess excellent communication and organizational skills.
  • Must be detail oriented.
  • Experience working in an animal welfare organization preferred animal handling experience a plus.
  • Excellent interpersonal and team-building skills are required.
  • Emotional intelligence skills essential; able to address people in a calm and professional manner.
  • Able to facilitate small group and large group discussions and lead training classes.
  • Ability to manage multiple projects, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Positive attitude and ability to build rapport at all levels of the organization.
  • Proficient in Microsoft Office software, data entry, and reporting.
  • Emotionally capable of handling high-pressure situations in a professional manner in a fast-paced environment.
  • Commitment to treat animals and people with respect and kindness.
  • Regularly sits at a computer station, often in a shared office environment.
  • The employee must regularly lift and/or move 25 or more pounds of moving weight and occasionally lift and/or move up to 40 or more pounds of moving weight.
  • Occasionally required to climb or balance, stoop, kneel, crouch, crawl, and smell.
  • Regularly required to sit, reach with hands and arms, talk, hear, and is frequently required to stand and walk.
  • May be expected to be on their feet for extended periods of time.
  • Must be able to use both hands and arms to grip, pull and push utilizing safety equipment such as, but not limited to catch poles, snappy snares, leashes, ropes, and muzzles.
  • Consistently exposed to animals in the workplace and animal allergens under conditions with limited alternatives available.
  • Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and depth perception.
  • Must handle various animals of various sizes, which may include aggressive animals and potential exposure to zoonotic diseases.
  • Regularly exposed to noise and potential exposure to hazardous weather conditions.
  • Potential exposure to cleaning supplies and/or other substances containing toxic or caustic chemicals.
  • Sunday-Thursday. Regular schedule consists of five (5), eight-hour shifts each week.
  • At least one weekend-day shift on a regular basis.
  • Will include weekends, occasional early mornings, evenings and holidays as needed.
  • Fully on-site.
  • As a condition of employment with HSPPR, you will be required to authorize HSPPR and ProScreening to conduct a background check before confirming an employment start date. The background check will include a criminal investigation, verification of citizenship/immigration status, and a motor vehicle record.

Responsibilities

  • Responsible for onboarding new volunteers, including but not limited to reviewing applications, background checks, confirming volunteer fee payments, contacting applicants, performing phone interviews, scheduling calls, sending out training materials, and any follow-up as needed via phone and or email.
  • Assigns new volunteers within a department or program.
  • Helps monitor volunteer schedules.
  • Moves volunteers to new positions based on volunteer interest and shelter needs, if necessary.
  • Regularly schedules and monitors general volunteer training sessions, including coordinating with trainers.
  • Executes safety protocols for volunteers to ensure consistent humane treatment and handling of animals.
  • Evaluates the progress of the individuals enrolled in the volunteer program, provides feedback to volunteers on their performance, and encourages growth within the organization.
  • Regularly schedules and monitors general volunteer training sessions to ensure that volunteers receive consistent information and training on organizational policies, animal handling, and safety procedures.
  • Train trainers, schedule classes, and assist in training as needed.
  • Develops, implements, and continuously improves volunteer programs that support shelter operations and animal care.
  • Coordinates recognition and retention strategies to foster a positive, long-term volunteer experience.
  • Responsible for data input and management within Volunteer Management System (Better Impact) and Shelter Inventory Systems (Chameleon).
  • Attend training and ongoing professional development related to the position (e.g.. Safe Animal Handling).
  • Point of contact for shelter volunteers and staff; Prioritizes volunteer needs and knows when to escalate issues to the Volunteer Services Manager and/or departmental leadership.
  • Cultivates and maintains relationships with all shelter volunteers, including prospective volunteers.
  • Actively supports staff and volunteers and promotes the development of skills related to the advancement of HSPPR goals and mission.
  • Provides quality service to customers, volunteers, and staff recognizing their individual contributions to the success of our organization.
  • Implements recognition system for volunteers (ie. pins, Platinum Paws, Volunteer Appreciation events).
  • Maintains professional relationships with community partners and stakeholders.
  • Collaborates with Volunteer Services team members on program operations.
  • Attends Philanthropy fundraising events to provide on-site coordination and support. These events include Fur Ball, Pawtoberfest, and Whisker Brunch.
  • Ensures regular communication with active volunteers through newsletters, emails, meetings, bulletin board(s), and other forms of communication.
  • Communicates with and provides regular feedback and/or coaching to potential volunteers and current volunteers in a professional and timely manner.
  • Responds promptly to volunteer inquiries via email, phone, and in-person interactions.
  • Maintains accurate documentation and shares relevant information with supervisors and leadership.
  • Represents the organization in a professional and courteous manner in all interactions.
  • Assists with ordering, maintenance, and inventory of supplies and equipment for the volunteer program.
  • Plans and organizes in anticipation of future needs.
  • Seeks cost-effective solutions for volunteer recognition, training, and engagement activities.
  • Uses organizational resources responsibly and in alignment with fiscal guidelines.
  • Commitment to the mission, vision, values, goals, and success of HSPPR.
