About The Position

The Volunteer Engagement Specialist is the key point person for volunteer engagements at Philabundance from office to warehouse and is the primary liaison between our volunteers and the larger Philabundance organization. The VES is a volunteer’s guide and advocate from the time they walk in the door until the time they walk back out the door. The VES is responsible for administration as well as volunteer activity and interaction such as tracking volunteer attendance, collecting volunteer feedback, supporting volunteers while on site and, crucially, keeping key departments updated with the on-the-ground state of the volunteer program. Note: This role requires additional background information financial checks in addition to crime and employment. This role requires travel. If using Philabundance, the company vehicles must have a clean driving record and valid driver’s license. Requirements

  • High School Diploma or GED required, additional formal education a highly preferred. Extended Degree in Hospitality, Business, Logistics, Social Services, or related topics is beneficial.
  • Minimum of 3 years in an influencer role, ideally in corporate logistics, engagement, events, marketing or related field. Direct leadership experience is a plus.
  • Strong project management skills with ability to conceive, plan, and execute a full spectrum of events, from donor packing shifts to fundraising galas to press conferences and more.
  • Ability to work effectively with a range of people from different communities and different levels of seniority in the organization.
  • Must have exceptional relationship building skills along with proven writing, presentation and verbal skills.
  • Creative approach to supporting fundraising and engagement events.
  • Flexible and adaptable, able to move with frequent changes.
  • Excellent interpersonal skills: ability to build strong relationships and work collaboratively with individuals and teams internally and externally.
  • An exceptional communicator, both in writing and orally; previous public speaking or teaching experience highly preferred.
  • Ability to work effectively with a range of people from different communities and different levels of seniority in the organization.
  • Proficiency in Windows Office Suite (Word, Excel, PowerPoint min.)
  • Relational database proficiency, Raiser’s Edge experience a helpful, other CRM exp a plus.
  • Exceptional ability to solve problems and proactively anticipate potential changes or adjustments
  • Fast paced and results oriented with the ability to work in a timely manner with multiple deadlines and competing requirements
  • Strong customer service approach to ensure participant experience is repeatable, high professional level and aligns with Philabundance image and brand.
  • Must be available evenings, weekends and take on extended hours as business needs demand.
  • Up to 25% of travel is required.
  • Must be willing and able to travel within and outside of the service area (employees can use public transportation, rideshare service, personal vehicle, or other means)
  • Must be physically compatible with travel, office visits, events, and meetings.
  • Must have valid driver’s license if using company vehicle.
  • Work in a seated position up to 8 hours a day, 5 days a week; Bend, stoop/squat, and walk intermittently throughout the day; Must be able to move up to 20 pounds. Shared supported lift is preferred, two people can move objects to lower impact. See, hear, and speak with sufficient capability to perform assigned tasks and maintain proper safety conditions. Maintain an acceptable work pace and align with required personal and team deadlines. Must meet goals. Demonstrate cognitive ability to: provide direction as well as follow directions and routines, work independently with appropriate judgment, read words and numbers, concentrate, memorize, recall, identify logical connections and determine sequence of response, process proactively and identify near and long-term future needs as well as evaluate problems and escalate/inform management as is necessary. Perform office tasks using simple hand grasp, fine hand manipulation, and reach associated with assigned tasks such as keying.

Responsibilities

  • Leads the Volunteer experience including greeting, supporting, answering questions, leading orientation activities, tracking attendance, and generally conveying enthusiasm for our mission as an ambassador for Philabundance. The VES also ensures that the volunteer experience is consistent with organizational goals and quality standards.
  • Leads the Repack Shifts onsite and offsite which will include but not be limited to, Hunger Relief Center (GX), selecxt Meal Production shifts at Philabundance Community Kitchen (PCK) and select shifts at Roxborough (RX) as well as a variety of offsite shifts.
  • Leads programs such as, but not limited to, the Notes of Service program. Program support includes fielding inquiries, handling questions and tracking of attendance and other related information.
  • The VES role will manage the performance of the volunteers by coaching, guiding and providing constructive feedback. The VES will provide input and guidance to achieve high performance and safely as well as input and guidance for those not meeting job requirements.
  • Key liaison between volunteers and staff to ensure communication, set expectations and identify needs and victories this includes the receipt of policies and procedures and regulations that are necessary and relevant to their work.
  • Owns accurate and timely tracking of volunteer attendance, including (but not limited to) preparing check-in sheets and materials, greeting, and checking volunteers into their shift. Records must be reconciled for accurate reporting on a timely basis.
  • Supports the Assistant Director of Events and Volunteers with engagement and retention activities, including but not limited to planning and executing Volunteer Appreciation Month events, creating touch points for collecting and responding to volunteer feedback.
  • Assists the Warehouse & Operations teams as needed during set-up and take-down of volunteer events both in-house and off-site.
  • Provides documentation for volunteers requiring verification of services for students and volunteers completing Court-Ordered Community Service and Community Service program
  • Collaborates with the Communications team to identify and document volunteer stories to help spread awareness and highlight the need and impact of the volunteer program.
  • Represent the Philabundance brand and mission through public speaking, written communication, and actions.
  • Support and align with Philabundance cultural pillars. Ensure communications, actions and interactions reflect a focus on People, Partnerships, Professionalism, and Progress.
  • Responsible for public speaking with small and large groups to ensure education, support and influence others on hunger related issues.
  • Represent Philabundance with external partners that are raising funds on our behalf; cooperate and make constructive input into their strategies to best align with the Philabundance brand as well as maximize revenue.
