About The Position

The Volunteer Engagement Manager is responsible for recruiting, training, evaluating, maintaining, and recognizing volunteers who are essential to the Kentucky Humane Society's mission, programs, and community engagement. This role involves day-to-day coordination and growth of the volunteer program, conducting orientations and training, providing oversight and support to volunteers and staff, and managing various administrative tasks related to the volunteer program.

Requirements

  • 1+ years of management or supervisory experience preferred.
  • Demonstrates positive leadership skills and the ability to positively influence volunteers to effectively meet the needs of the organization.
  • Strong presentation skills.
  • Knowledge of Raiser’s Edge software preferred.
  • Ability to communicate respectfully and effectively with people of all backgrounds and personalities.
  • Exceptional organizational, analytical, interpersonal, and conflict-resolution skills.
  • Intermediate computer skills with the ability to prepare reports and maintain an efficient records system.
  • Self-directed with the ability to work independently/meet deadlines in a fast-paced work environment with little direct supervision.
  • Ability to manage the emotional aspect of end-of-life service and humane euthanasia, and support staff in high-emotion circumstances.
  • Accept, support, and represent KHS core values, programs, policies, and procedures.
  • Must possess a valid driver’s license and clean driving record and be willing to drive KHS vehicles.

Responsibilities

  • Provides day-to-day coordination and growth of the volunteer program.
  • Conducts orientations and training to prospective volunteers.
  • Coordinates volunteers when starting in new roles and leads their training.
  • Provides oversight of volunteers, including disciplinary action, conflict resolution, and possibly termination.
  • Works with staff across various departments to identify volunteer opportunities and recruit, train, and supervise volunteers.
  • Provides training and support to staff across various departments to promote positive volunteer/staff relationships.
  • Oversees the intern program for the Outreach Team and assists other departments with attracting interns.
  • Assists with the coordination and supervision of adult group/corporate service projects.
  • Plans and implements formal and informal volunteer recognition activities.
  • Coordinates Student Service Project Hours including approving student hours, sending hour verification letters, facilitating major donations drop-offs, and further stewardship.
  • Ensures volunteer manuals and training materials are up-to-date and accessible.
  • Oversees VolunteerHub software to organize volunteer orientation, training, and scheduling.
  • Processes/enters volunteer memberships in Raiser’s Edge (RE) and runs charges.
  • Manages and moderates the volunteer Facebook page.
  • Documents volunteer interactions in development database (Raiser’s Edge).
  • Ensures compliance with and keeps accurate and secure records of liability waivers and safety protocol for volunteers.
  • Designs volunteer program t-shirt, maintains inventory and processes orders.
  • Processes Purchase Orders according to established procedures and maintains inventory of all departmental supplies.
  • Coordinates the schedule for the weekly Photo Volunteers and oversees photo uploads to Flickr/Petpoint.
  • Assists with special event logistics, planning, and execution as needed.
  • Assists with the creation and adherence of the annual budget of department revenues and expenses.
  • Provides monthly reports to direct report.
  • Writes monthly volunteer e-newsletter and other email communications to volunteers.
  • Attends monthly Kentuckiana Association of Volunteer Administrator (KAVA) local chapter meetings and other networking opportunities.
  • Completes stewardship, tours, lunches, and other meetings as identified by direct report.
  • Participates in managers meetings and team building activities.
  • Communicates with People Services Director regarding unusual activities, significant problems or concerns.
  • Performs other duties as assigned.
