About The Position

As a Vital Records Registrar, you will register, correct, and amend vital records and issue certified copies of birth and death certificates while providing guidance to partners and stakeholders, maintaining security, assuring surveillance of public health mortality threats, adhering to financial guidelines, and complying with Arizona State Statutes, administrative codes, and federal requirements. Requirements

  • Two years of office, administrative, or clerical experience.
  • High school diploma or GED.
  • Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire.
  • Must secure and maintain an Arizona Department of Public Safety Level 1 Fingerprint Clearance Card and complete a background check.
  • Within one month of hire, all employees will be required to provide evidence of immunity or receive immunizations for vaccine-preventable illnesses for any position within the Maricopa County Department of Public Health; required immunizations include MMR (measles, mumps, rubella), Tdap (whooping cough and diphtheria), Varicella (chickenpox), and annual Influenza; some positions require a Hepatitis B vaccine and/or a Tuberculosis test.

Nice To Haves

  • Post-secondary education may substitute for the experience requirement on a year-for-year basis.
  • Three or more years of office, administrative, or clerical experience.
  • Experience working with U.S. vital records/registration.
  • Experience working with medical records or in a health-related field, including mortuary science.
  • Certification as a Public Health or Community Health Worker from an accredited college, or currently enrolled in a Public Health or Community Health Worker program, and eligible to receive certification within six months of hire.

Responsibilities

  • Register, correct, and amend vital records.
  • Issue certified copies of birth and death certificates.
  • Provide guidance to partners and stakeholders.
  • Maintain security of vital records.
  • Assure surveillance of public health mortality threats.
  • Adhere to financial guidelines.
  • Comply with Arizona State Statutes, administrative codes, and federal requirements.
  • Register live birth, still birth, foundling, death, and fetal death certificates.
  • Apply appropriate Arizona Revised Statutes, Arizona Administrative Codes, policies, and procedures.
  • Review and process administrative orders or court orders for vital records amendments.
  • Enter related data into appropriate databases.
  • Validate identification and evidentiary documents.
  • Maintain 100% data and identity security of all submissions.
  • Witness, notarize, and/or process hospital and funeral home correction letters, customer affidavits, court orders, and voluntary acknowledgments of paternity.
  • Address customer inquiries received in person, telephonically, and via the web.
  • Provide daily activity reports of all vital registration activity to management.
  • Maintain, reconcile, and update funeral home charge accounts, financial invoices, and accept various payment tenders for services rendered.
  • Balance the cash drawer and reconcile paperwork on a daily basis.
  • Provide consultation and training to funeral homes, birthing facilities, public partners, and stakeholders regarding the vital registration process.
  • Coordinate with the Arizona Department of Health Services to resolve vital registration issues.
  • Adhere to secure data records retention policies.
  • Maintain strict compliance with the management and recording of all vital records data.
