About The Position

The Iowa Department of Health and Human Services (HHS), Division of Public Health, Bureau of Health Statistics is seeking a Vital Records Associate to join their Issuance team. This role is responsible for delivering customer service to individuals eligible to receive vital records in Iowa. The position involves answering customer calls, reviewing and processing application orders, and supporting fellow Administrative Support Assistant I team members. The ideal candidate will be motivated, organized, detail-focused, and have a proven track record of meeting strict deadlines, exercising sound judgment, and demonstrating strong decision-making ability. Excellent customer service skills are essential.

Requirements

  • Typing Score of 40 or greater (40-49 WPM)
  • No specific education or work experience required.
  • A Typing Test must be attached in the attachments section of the online application.
  • Gross number of words typed in a 5-minute timed test
  • Number of errors
  • Net words per minute (one point deduction for each error)
  • Your name and date must be on the document submitted to this office.
  • It must be signed off by a witness or from the typing website's electronic signature.
  • Tests must be attached to the online application.

Responsibilities

  • Answer customer service calls to verify identification and accept certified copy orders
  • Input accurate data entry into multiple vital records systems
  • Review and enter/reject certified copy orders received by mail
  • Review all completed applications; close orders in IVES or UPS orders in Vital Chek; prepare all applications for mailing, including printing receipts for orders and mailing cover letter sheets.
  • Verify records processed and close orders in IVES or VitalChek, and mail correct documents to customers
  • Process summary of fee audit reportings
  • Review certified copy orders in IVES received from county recorders offices.
  • Print applications and log orders accordingly
  • Verify entitlement for all vital record orders accepted for processing
  • Operate a PC efficiently to use IVES and VitalChek application systems
