About The Position

We are seeking a highly organised and proactive Virtual Assistant to provide comprehensive administrative support to our team. This is a Full-Time, remote position based in Fredericksburg, Virginia, United States. The ideal candidate will be a self-starter, capable of managing multiple tasks efficiently in a fast-paced environment, and will play a crucial role in supporting our data-driven approach to project management and operational excellence.

Requirements

  • Proven experience working as a Virtual Assistant, Executive Assistant, or in a similar administrative role.
  • Exceptional organisational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills with a keen eye for detail.
  • Full proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
  • A proactive attitude with the ability to work independently and take initiative.
  • Ability to handle confidential information with the utmost discretion and professionalism.

Nice To Haves

  • Experience with project management software is considered an advantage.
  • Experience within the construction or a related industry is highly desirable but not essential.

Responsibilities

  • Provide high-level administrative support to senior management and project teams.
  • Manage complex diaries, schedule meetings, and coordinate travel arrangements.
  • Handle incoming email correspondence, prioritising and responding on behalf of the team where appropriate.
  • Prepare and format reports, presentations, and other professional documents with a high degree of accuracy.
  • Assist in data entry and maintenance of company databases to support our project efficiency goals.
  • Conduct online research for project-specific information, materials, and potential suppliers.
  • Support the coordination of project timelines and deliverables, ensuring deadlines are met.
  • Perform general administrative duties to ensure the smooth operation of the business.
