About The Position

The Vice President, Administration is a senior management role responsible for administrative strategy, shared‑services leadership, and operational governance. This role oversees core administrative functions—such as Facilities, Real Estate, Corporate Services, Workplace Services, Travel & Expense, Fleet, Security, Records Management, and other designated shared services—ensuring efficient, compliant, and scalable operations that support business performance.

Requirements

  • Bachelor’s degree in Business Administration, Operations, Facilities Management, or related field required
  • Typically 15+ years of progressive leadership experience in administration, shared services, operations, or corporate services
  • Demonstrated success leading large, complex administrative or shared‑services organizations
  • Strong executive leadership and organizational management capability
  • Broad understanding of administrative operations, facilities, and shared services
  • Proven ability to drive efficiency, cost discipline, and service quality
  • Strong risk management, governance, and compliance acumen
  • Ability to influence senior executives and lead cross‑functional initiatives
  • Excellent executive communication and stakeholder‑management skills
  • High integrity, judgment, and enterprise mindset

Responsibilities

  • Define and execute the enterprise administrative and shared‑services strategy
  • Establish governance models, policies, and standards for administrative functions
  • Ensure administrative services align with enterprise priorities, growth, and cost objectives
  • Oversee core administrative functions such as facilities, workplace services, real estate, travel, security, fleet, records, and corporate services (as applicable)
  • Ensure reliable, high‑quality service delivery across locations and business units
  • Drive consistency, scalability, and service excellence
  • Lead enterprise administrative budgeting, forecasting, and cost‑control efforts
  • Identify opportunities for cost optimization, vendor consolidation, and process efficiency
  • Ensure disciplined resource allocation and return on administrative investments
  • Ensure compliance with regulatory, safety, environmental, and corporate requirements
  • Oversee risk identification and mitigation related to facilities, security, and operations
  • Champion safe, compliant, and resilient administrative operations
  • Provide executive oversight of key administrative vendors and service providers
  • Lead sourcing, contract negotiation, and performance governance (as delegated)
  • Ensure vendors meet service, cost, and compliance expectations
  • Lead, develop, and mentor senior administrative leaders and managers
  • Build a strong, diverse administrative leadership pipeline with clear succession plans
  • Establish performance expectations, accountability, and professional standards
  • Partner with Finance, HR, IT, Legal, Supply Chain, and business leaders
  • Support enterprise initiatives such as expansions, restructurizations, relocations, and transformations
  • Provide executive‑level insight on administrative impacts and trade‑offs
  • Lead modernization of administrative processes, tools, and service delivery models
  • Drive standardization, automation, and digital enablement where appropriate
  • Support enterprise transformation initiatives impacting administrative services
  • Support an effective, safe, and productive workplace environment
