About The Position

Arlington Pet Hospital & Resort is seeking an enthusiastic, compassionate, and dependable Veterinary Client Care Representative to join their team. This role is the first point of contact for clients, responsible for creating a welcoming and caring experience. The position involves managing the front desk, coordinating appointments, answering questions, and ensuring smooth communication. The hospital is a well-established veterinary practice with seven doctors and a supportive team that values individual contributions and collaboration.

  • Occasionally lifting, carrying, pushing, or pulling up to 50 pounds
  • Moving throughout the hospital to assist clients, support patient care, and complete assigned responsibilities
  • Following established safety practices

Responsibilities

  • Warmly greet clients and patients and facilitate efficient check-in and check-out
  • Maintain an organized reception flow and help minimize client wait times
  • Schedule and confirm appointments by phone, email, text, and online portals
  • Answer incoming calls using professional telephone etiquette and established hospital protocols
  • Route medical questions, urgent concerns, and other inquiries to the appropriate veterinary team member
  • Monitor and respond to client communications throughout the day
  • Create, update, and maintain accurate client and patient records in the practice management system
  • Address client questions and concerns with compassion and professionalism, escalating issues when additional assistance is needed
  • Process financial transactions accurately and follow established hospital procedures
  • Maintain appropriate documentation in accordance with hospital policies
  • Keep the reception area and workspace clean, organized, welcoming, and professional
  • Collaborate with the veterinary team to support excellent patient care and a positive client experience
