About The Position

The Utility Vendor Management (UVM) Coordinator role is responsible for ensuring utility accounts are set up correctly, the right vendors are connected, and incoming billing data is clean for clients using the Billee platform. This position acts as a liaison between Billee and utility providers (electric, gas, water, trash, telecom) across the client portfolio. Key duties include submitting account requests, tracking activations, following up with vendors, and ensuring a smooth onboarding process for new properties. The role also involves supporting billing reconciliation by investigating discrepancies when numbers do not match. This is a high-volume, deadline-driven role with direct client visibility, requiring meticulous attention to detail and a proactive approach to problem-solving. The ideal candidate has experience in utility management, property operations, or a billing/operations environment and seeks ownership of a critical function.

Requirements

  • 2 to 4 years of experience in utility management, billing operations, property management, or a similar ops role
  • Direct experience coordinating with external vendors or utility providers
  • Proven ability to manage a high volume of open items without losing track
  • Strong data entry accuracy and comfort with spreadsheets
  • Clear, professional written communication
  • Able to work independently and manage your own priorities in a fast-moving environment
  • Familiarity with utility management or multifamily operations
  • Ability to learn new software quickly

Responsibilities

  • Manage the day-to-day relationship with utility providers across the portfolio: submitting account requests, tracking activation status, and following up when things stall.
  • Manage the utility account setup workflow for new properties joining the Billee platform: collecting property data, submitting to providers, and confirming account activation before billing.
  • Process utility invoices and account data accurately, and support monthly reconciliation cycles by investigating and resolving discrepancies.
  • Communicate internally with the Customer Journey team to update clients on account status and with Accounting to ensure billing records are accurate and reconciled.
  • Maintain accurate and current records in internal systems and contribute to the documentation that will form the UVM function's playbook.
