About The Position

When a client goes live on Billee, someone has to make sure the utility accounts are actually set up, the right vendors are connected, and the billing data coming in is clean. That work falls to this role. As a UVM Coordinator, you'll own the coordination layer between Billee and the utility providers (electric, gas, water, trash, telecom) across our client portfolio. That means submitting account requests, tracking activations, following up when vendors go quiet, and making sure nothing slips through the cracks when a new property onboards. You'll also support billing reconciliation, which requires the same attention to detail: when numbers don't match, you investigate until they do. This is not a background role. The work is high-volume, deadline-driven, and directly visible to clients. When vendor accounts aren't set up on time or billing data is off, clients notice. The right person for this role finds satisfaction in getting it right — building a system that keeps them organized, staying on top of open items, and closing loops before anyone has to ask. Requirements

  • 2 to 4 years of experience in utility management, billing operations, property management, or a similar ops role
  • Direct experience coordinating with external vendors or utility providers
  • Proven ability to manage a high volume of open items without losing track
  • Strong data entry accuracy and comfort with spreadsheets
  • Clear, professional written communication
  • Able to work independently and manage your own priorities in a fast-moving environment
  • Comfort learning new software quickly matters more than knowing these specific tools coming in.

Responsibilities

  • Manage the day-to-day relationship with utility providers across the portfolio: submitting account requests, tracking activation status, and following up when things stall.
  • When a new property comes onto the Billee platform, you're responsible for the utility account setup workflow: collecting the right property data, submitting to providers, and confirming accounts are active before billing goes live.
  • Process utility invoices and account data accurately, and support monthly reconciliation cycles. When numbers don't match, you dig in and find out why, whether it's a data entry issue, a vendor discrepancy, or something that needs escalation to Accounting.
  • Work closely with the Customer Journey team to keep clients updated on account status, and with Accounting to ensure billing records are accurate and reconciled.
  • Keep records current and accurate in our internal systems. As the UVM function grows, the documentation you maintain today becomes the playbook for the team tomorrow.
