About The Position

The Payroll & Benefits Coordinator is responsible for the accurate and timely processing of multi-state payroll and administration of employee benefits programs using ADP Workforce Now. This role serves as the primary point of contact for employees regarding payroll, benefits, and total rewards inquiries, and partners closely with HR, Finance, and department leaders to ensure compliance with federal and state regulations across all operating jurisdictions.

Requirements

  • Bachelors degree in Accounting, Business Administration, or related field.
  • 3+ years of payroll processing and operations experience.
  • Strong communication and interpersonal skills.
  • Detail - oriented with strong time - management abilities.
  • Ability to handle sensitive and confidential information.
  • Proficient in data analysis and problem - solving.
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUPs, data analysis)

Nice To Haves

  • Experience with multi-state payroll.
  • Familiarity with ADP Workforce Now.
  • Experience with carrier EDI/file feed management and benefits reconciliation
  • Bilingual in English and Spanish.

Responsibilities

  • Assist in reviewing and maintain payroll data, including new hires, rehires, separations, compensation changes, and employee profile updates in ADP.
  • Create and review ADP payment batches for commissions and bonuses.
  • Add new locations and departments in ADP as needed
  • Update biweekly benefit enrollments and calculate refunds or amounts owed.
  • Respond to employee benefit and earnings inquiries.
  • Ensure compliance with benefit and payroll related regulations.
  • Provide guidance on HR, payroll, and benefits policies.
  • Maintain respectful and clear communication with employees and team members.
  • Review, assign, and resolve service desk tickets.
  • Organize daily team workflow and provide feedback or coaching as needed.
  • Identify process gaps and recommend improvements to enhance efficiency.
  • Analyze Total Rewards data to identify trends, gaps, and opportunities for program enhancement
  • Audit benefit invoices for accuracy and approve for payment; reconcile discrepancies with vendors
  • Maintain compliance with ACA, ERISA, HIPAA, and other applicable benefit regulations
  • Prepare and distribute required benefit notices (SBC, SPD, CHIP, Medicare Part D, etc.)
  • Generate ad hoc reports as needed.
  • Maintain adherence to company policies and regulatory requirements.
