About The Position

The Urgent Care Supervisor, under the supervision of the Department Manager, is responsible for planning, organizing, and coordinating daily operations to ensure quality patient care and serve as the liaison between providers and staff. This role involves providing leadership and support in day-to-day operations within the clinical setting, acting as a role model and consultant for staff, and demonstrating the ability to make decisions, problem-solve, delegate, and ensure high quality and efficiency of staff. The position requires flexibility with various work schedules, with the supervisor working on the clinical floor 50-75% of each day. Responsibilities include managing staffing schedules, time off requests, identifying staffing needs, monitoring and controlling overtime, and coordinating staff to maximize daily coverage. The supervisor will also participate in interviewing and selecting new candidates, assist with hiring and orientation, and train new staff on various office procedures and workflows, ensuring staff perform duties at the height of their license/certification/role. Additionally, the role involves providing daily support to providers, evaluating clinical staff in collaboration with the Department Manager, implementing and creating action plans with the Quality team, monitoring quality metrics, and ensuring departmental compliance with OSHA, HIPPA, and Occurrence Reporting standards. The supervisor will also act as a liaison between Care Management and Care Coordination for Meaningful Use requirements, collaborate with the Department Chair for efficient office operations, make workflow adjustments, and communicate regularly with providers. Collaboration with the Department Manager on annual performance reviews and acting as a resource for patient issues and concerns are also key duties. Travel is expected to rotate through all clinics and adjust locations as staffing needs arise.

Requirements

  • Associates degree, Bachelor’s degree preferred.
  • 5 year’s nursing experience.
  • OR State Nursing License or Oregon Paramedic License
  • BLS certification.
  • Ability to lead and manage a team with Physicians and other providers.
  • Ability to communicate in English, both orally and in writing.
  • Strong interpersonal and organizational skills.
  • Ability to perform diverse work assignments with time limitations with a high degree of accuracy.
  • Ability to use problem solving, critical thinking and priority setting skills.
  • Experience with EHR, Practice Management System and Departmental/Ancillary Systems preferred.

Responsibilities

  • Provides leadership and support in day to day operations within the clinical setting along with the Charge RN and/or Department Manager.
  • Serves as a role model and consultant for staff.
  • Demonstrates the ability to make decisions, problem solve, delegate, and assure high quality and efficiency of staff.
  • Completes monthly staffing schedules.
  • Manage staff time off requests; while identifying staffing needs in advance, assists in utilizing resources effectively.
  • Monitor and control overtime use.
  • Coordinates and shifts staff to ensure daily staffing is maximized.
  • In collaboration with Department Manager, interviews and selects new candidates while working with other support departments, including Human Resources.
  • Plans and assists in the hiring and orientation of new office staff.
  • Training of new staff including but not limited to in baskets, rooming, 3 day look ahead, check-out, 8 stage workflow, etc.; monitoring, and evaluation of staff.
  • Ensuring each staff member is performing their duties at the height of their license/certification and/or role.
  • Provides daily support to providers as needed.
  • In collaboration with Department Manager, evaluates clinical staff according to policies and procedures while providing ongoing feedback.
  • Works with Quality team and Department Manager to implement and create action plans as needed.
  • Monitoring of all quality metrics through the electronic medical record to ensure adherence and consistency amongst all staff and providers.
  • Monitors departmental compliance with all applicable standards (OSHA, HIPPA, Occurrence Reporting); reports compliance concerns; ensures utilization of resources for resolution of issues.
  • Serves as liaison between Care Management and Care Coordination in support of Meaningful Use which includes but not limited to; Documentation of Information obtained during visit, Vitals, Smoking, Demographic, Patient Outreach, 21-day overdue work list, Pre-visit Planning, Outreach for Screening, Referral Tracking, Clinical Summaries and patient education material as well as Patient Portal communications.
  • In collaboration with the Department Manager, works with the Department Chair to ensure efficient office operations.
  • Makes adjustments in workflow(s) as necessary to ensure overall smooth functioning of the department and compliance of policies.
  • Communicates with providers on regular basis to ensure seamless flow of communications.
  • Responsible for collaborating with the Department Manager on annual performance reviews for each applicable staff member in the department.
  • Acts as a resource for department to manage patient issues and concerns; reports back to Providers and Department Manager.
  • All other duties as assigned.
