About The Position

This position provides comprehensive administrative and programmatic support for the Division of Student Life and the Counseling Services department. Serving as the first point of contact for students, parents, employees, and external constituents, the role facilitates essential executive support, including travel, purchasing, and contracts, for the Vice Chancellor for Student Life and the Student Life division. Within Counseling Services, this role manages the SchooLinks college planning platform, coordinates over 50 annual university representative visits, oversees National Merit process and Tuition Grant administration, and handles daily reception and inventory needs. Additionally, this role serves as the logistical lead for major divisional events, such as the College Fair, UNC Showcase, Career Fair, and the annual Winter Holiday Dinner, collaborating with partners across the division to support wellness and Student Life programming. This position also plays a critical role in coordinating NCSSM SCSSI (NCSSM Student and Constituent Support Services, Inc.) program operations. Acting as the primary liaison for Durham club sponsors, academic competition sponsors, and January Term (J-Term) sponsors, this role processes financial transactions and supports sponsors in managing logistics and purchasing for student activities, competitions, and travel. Responsibilities include working with sponsors to develop budgets, collect funds, execute credit card purchases, secure airline and hotel accommodations, process check, advance, and reimbursement requests, and ensuring that all spending aligns strictly with SCSSI’s 501(c)(3) guidelines to positively impact and support student and constituent programs and activities.

Requirements

  • Bachelor’s degree and one year of experience related to the area of assignment; or equivalent combination of training and experience.
  • Proficient knowledge of Google Workspace, including, but not limited to Gmail, Google Calendar, Google Docs, Google Sheets, Google Slides, etc.
  • Ability to use and discover emerging technologies to improve the efficiency and effectiveness of data management and other current business and administrative systems.
  • Ability to develop and maintain a positive rapport and communication with students, faculty, staff, team members, parents and external constituents.
  • Strong organizational skills.
  • Communicate clearly, politely, and effectively.
  • Demonstrate the ability to think creatively to assist in special events planning.
