About The Position

The Unit Secretary in the Birthing Center is responsible for a variety of administrative and clerical tasks to ensure the smooth operation of the unit. This includes managing patient records, completing necessary forms and documentation, communicating with staff and external agencies, and maintaining supplies. The role requires strong organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality. The Unit Secretary plays a key role in patient registration, birth record completion, and ensuring timely communication within the birthing center.

Requirements

  • Ability to read, write and communicate in English
  • CCHC Medical Terminology Exam (or proof of course, prior to start date)
  • MA Birth Registrar with Vitals Information Partnership (VIP) (obtain within 60 days)
  • Notary Public in the Commonwealth of Massachusetts Notary Public (obtain within 60 days)
  • Demonstrated knowledge of healthcare informatics systems

  • Medical Secretary/Medical Receptionist experience
  • Proficiency in the current EMR system

Responsibilities

  • Completes necessary forms, requisitions and communications to implement orders.
  • Maintains accurate and complete patient records on unit by established department policies and procedures.
  • Maintains and organizes all patient Pre-Natal Progress Records imported from Obstetricians offices.
  • Maintains and initiates birth records for all infants: Completes Birth Certificates for all newborns using the Commonwealth of Massachusetts Virtual Gateway system.
  • Assembles paperwork for all newborns and completes process by obtaining parent signatures and notarizing Paternity and Non-Paternity documents.
  • Faxes/scans/transmits completed documentation to the Commonwealth of Massachusetts Registry of Vitals Records office in a timely manner.
  • Properly utilizes Nurse Locator for timely communications with nursing staff; and Patient Call system to initiate timely responsiveness to patient call bells.
  • Maintains patient chart in appropriate functional order as prescribed by hospital policy.
  • Initiates admission and registration of all birthing center patients.
  • Represents hospital in the community and within the hospital by maintaining confidentiality regarding patients.
  • Maintains adequate quantity of forms, materials and supplies on unit.
  • Prints out visitor passes for visitors presenting at the desk.
  • Responds in a professional and courteous manner in all telephone and verbal communications with internal and external customers.
  • Adheres to safety, blood/fluid policies and procedures when transporting specimens to the lab.
  • Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers.
  • Performs other work-related duties and activities as assigned or requested.
