About The Position

The Unit Secretary serves as a central point of contact for staff, patients, and visitors, relaying messages and answering phone calls. This role provides administrative support by managing patient health information, maintaining physical charts, assisting with discharge and transfer paperwork, and procuring patient appointments, meetings, and procedures. The Unit Secretary also plays a role in quality and safety by collecting data and managing medical supply systems. Additionally, they are responsible for transcription and documentation, assisting with patient care, maintaining confidentiality, and problem-solving to promote patient satisfaction.

Requirements

  • High School Diploma
  • Requires ability to communicate clearly and have noteworthy people skills.
  • Demonstrates strong organization skills in interruptive environment
  • Experience with electronic medical record systems
  • BLS required

Nice To Haves

  • Experience as nursing assistant/MOA desirable
  • Computer skills in Microsoft Word; Microsoft Excel preferred

Responsibilities

  • Serves as a central point of contact for staff, patients, and visitors, relaying messages, and answering phone calls.
  • Manages unit emails including printing, posting or communicating requests as directed.
  • Requests patient health information as directed; maintains patient physical chart and including advanced directives (HCP/MOLST), assists with discharge and transfer paperwork including printing educational materials, forms and admission/discharge folders.
  • Maintains documentation packets, prints downtime forms.
  • Schedules/coordinates and procures patient appointments, meetings and procedures for patients as directed.
  • Collects data as directed by charge RN/Director of Inpatient Nursing.
  • Performs inventory and outdate verification of designated medical supply systems.
  • Completes patient census, patient acuity scores and Patient Care Tech (PCT) worksheet.
  • Assists with patient care: Directs patients and visitors to appropriate rooms; delivers mail, flowers, personal items, provide support to nursing and medical staff as needed including transport, stocking supplies and responding to patient inquiries.
  • May function as 1:1 Sitter as needed.
  • Handles sensitive information with discretion adhering to privacy regulations such as HIPAA.
  • Uses HIPAA compliant practice to manage patient records including email/fax/appointments/information sharing.
  • Assists in maintaining workflow to promote patient satisfaction.
