About The Position

Under general supervision, the Unit Clerk provides medical-clerical support for patient care in the Inpatient or Emergency Room of the Tohono O'odham Nation Health Care Hospital. This role assists nursing and medical staff with clerical and non-professional activities, manages reception duties, record-keeping, and provides miscellaneous support to the unit. The incumbent is expected to resolve problem situations and works under the supervision of the Supervisory Clinical Nurse or Charge Nurse. This position may require temporary relocation to other TONHC Facilities.

Requirements

  • High School Diploma or General Education Diploma.
  • One year of general work experience in the medical field.
  • Current certification in Healthcare Cardio Pulmonary Resuscitation (CPR).
  • Must complete a course in Medical Terminology within six months of hire.
  • Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required.
  • A 39-month driving record check is required.
  • May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years).
  • If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to operate program vehicles.
  • Based on department needs, incumbents may be required to demonstrate fluency in both Tohono O'odham language and English.

Responsibilities

  • Serve as a receptionist, greeting patients and visitors respectfully and courteously, and alerting Security to unauthorized visitors.
  • Receive and route incoming telephone calls.
  • Receive and distribute mail to medical staff, nursing staff, and patients.
  • Schedule appointments with other medical services and make necessary arrangements, including requesting medical records and initiating requisitions for procedures.
  • Assemble new admission charts, transcribe doctor's orders, initiate lab requests and doctor's referrals, and file reports and documents in patient charts and Electronic Health Records.
  • Schedule appointments with outside facilities and coordinate patient transfers by contacting EMS, PRC, and Tribal transportation.
  • Arrange transportation for patients receiving healthcare within or outside the Nation's Hospital Unit, verifying patient records are complete and accurate before transfer.
  • Assist with patient discharge orders and final disposition of patient charts after discharge.
  • Maintain and enter data for updated ER Log per EMTALA and Joint Commission standards.
  • Perform patient registration duties, including updating demographics and verifying insurance, referring to the Benefits Coordinator when necessary.
  • Maintain and replenish forms and office supplies for the unit.
  • Notify Housekeeping of routine requests (e.g., linen, cleaning rooms).
  • Submit routine work orders on the unit using TMA.
  • Process and maintain time and attendance records for unit staff, including review, audit, and research of attendance records.
  • Answer employee questions regarding time and attendance.
  • Maintain current lists of patient admissions, discharges, diet lists, and Inpatient blood sugar lists.
  • Attend monthly unit meetings and record minutes.
  • Promote Safety and Risk Management initiatives on the unit.
  • Complete and submit TMA requests.
  • Perform other job-related duties as assigned.
