About The Position

This role is responsible for maintaining the document control system for projects undertaken by OceanaGold Corporation (OGC). The primary goal is to ensure the effective flow of all documents between OGC and its clients, as well as between OGC and its contractors. The position involves maintaining the OGC project file structure, including the Document Management Plan and the development and revision of templates. Additionally, the role provides administrative support to the UG Projects and Studies Team and liaises with engineering and projects personnel to ensure processes and procedures are functional and implemented.

Requirements

  • Sound technical document control experience and understanding of the processes for managing engineering deliverable documentation.
  • Spreadsheet / database experience.
  • Document control on multi-discipline projects and software understanding.
  • Previous experience with TeamBinder (mandatory).
  • Previous experience with training staff in the use of document management tools.
  • Strong attention to detail.
  • Ability to think analytically.
  • A motivated self-starter who can operate autonomously when required.
  • Ability to work with multi-cultural teams.
  • Strong results orientation and ability to consistently deliver against the plan.
  • Excellent planning, organization and prioritization capabilities.

Nice To Haves

  • Diploma in Business Administration or similar (desirable).

Responsibilities

  • Maintain the document control system for projects undertaken by OGC.
  • Ensure effective flow of all documents between OGC and clients, and OGC and contractors.
  • Maintain the OGC project file structure, including the Document Management Plan, and the development and revisions of templates.
  • Provide administrative support to the UG Projects and Studies Team.
  • Liaise with engineering and projects personnel to ensure processes and procedures are functional and implemented.
  • Transmit and receipt of documentation including engineering and vendor documents and drawings and project correspondence.
  • Plan, supervise and record document flow to and from all necessary parties including engineering and construction contractors, sub-contractors and the project office.
  • Ensure the Document Management Plan is followed when creating documents.
  • Development and use of project-related procedures and revise procedures as the needs of the project change in consultation with the relevant Project Superintendents.
  • Maintain the Contacts address books in the assigned Electronic Document Management database.
  • Liaise with Project Engineers to ensure Scopes of Work for Tender packages are received into the Document Management System.
  • Notify Project Engineers and Project Superintendents regarding tender packages that have revised documents.
  • Monitor durations for the turnaround of document reviews by both internal and external parties, for assigned Packages.
  • Ensure Vendor Document Deliverable Requirement schedules for assigned Packages are kept up to date and the relevant Project Managers are notified of any non-conformances.
  • Proactively highlight any events that may adversely affect project schedule to your manager in a timely fashion.
  • Actively look for opportunities to implement cost savings without affecting safety, schedule or quality.
