About The Position

The BGJI Undergraduate Assistant will provide welcoming desk reception, involving actively greeting visitors to the institute and assisting them with appointment check-in, answering questions, and referring to staff members or other offices as necessary. This role will report to the BGJI Program Assistant, Alexandra Zapata, and is expected to work 5-10 hours per week. Occasional weekend or additional event work may be required within the expected hours. The assistant will filter and answer inquiries, provide printing services, take attendance for BGJI forums, maintain rehearsal room cleanliness, manage the BGJI Gmail inbox, utilize Calendly for scheduling, attend staff meetings, assist with event setup/teardown, organize files in Google Drive, capture and edit media content, draft and schedule social media posts, create signage using Canva, support basic live audio setup, reserve rooms using the AAOF system, provide logistical support for Guest Artists in Residence, and maintain an updated inventory of BGJI assets. Students must be currently enrolled at Berklee College of Music or Boston Conservatory at Berklee, at least half-time in a degree-seeking program (with exceptions for summer employment), possess a valid US SSN, maintain valid Visa status, have a minimum 2.0 cumulative GPA (first-semester students are exempt), be in good disciplinary standing, and be located in the U.S. Federal Work Study students are encouraged to apply.

Requirements

  • Current student at Berklee College of Music or Boston Conservatory at Berklee.
  • Enrolled at least half-time in a degree, diploma, or certificate-seeking undergraduate or graduate program (summer exception applies if pre-registered for fall).
  • Have a valid United States Social Security Number (SSN).
  • Remain in “valid” Visa status as applicable.
  • A minimum 2.0 cumulative GPA (first-semester students are exempt).
  • In good disciplinary standing.
  • Must be located in the U.S.
  • Strong proficiency in Google Suite (including but not limited to Gmail, Drive, Sheets, Docs, Forms, Slides, Keep, etc.).
  • Proficiency in Canva.

Responsibilities

  • Provide welcoming desk reception, greeting visitors, assisting with check-in, answering questions, and referring as necessary.
  • Filter and answer inquiries from students, faculty, and campus partners or reroute them to BGJI Leadership.
  • Provide printing service for BGJI students, faculty, and staff during business hours.
  • Take student attendance for weekly BGJI forum class and directed study lessons.
  • Maintain rehearsal room cleanliness and organization.
  • Respond to and compose emails to students, faculty, and staff through management of the BGJI Gmail inbox.
  • Utilize calendar scheduling platforms such as Calendly to set up appointments in the department.
  • Attend periodical staff meetings with Managing Director, Program Assistant, Academic Assistant.
  • Assist with event room setup/teardown during events.
  • Organize and archive files within Google Drive for historical record-keeping.
  • Take and edit photographs, videos, and audio content during BGJI forums and events.
  • Draft and schedule social media content for approval by the Artistic Director and post on the BGJI Instagram account.
  • Create signage, flyers, and posters using Canva and other design software.
  • Support basic live audio setup and operational needs during BGJI forums, masterclasses, and events.
  • Reserve rooms for BGJI students, staff, and faculty using AAOF system with Admin access.
  • Provide logistical support for Guest Artists in Residence.
  • Maintain an updated inventory of BGJI-owned instruments, audio gear, cables, and office supplies.
  • Assist students with loading musical equipment on bus transportation for local travel.
