About The Position

The UKG Workforce Scheduling Assistant supports daily Detention Officer scheduling requirements by assisting with shift assignments, staffing vacancies, call offs, overtime, leave, training, shift changes, and other adjustments necessary to maintain operational staffing. This role ensures schedule changes and staffing decisions are accurately and promptly entered into UKG, so system records reflect actual employee assignments and scheduled work hours. The assistant will review UKG schedules, employee time records, missed punches, exceptions, and discrepancies, coordinating with supervisors, Payroll, and Human Resources to resolve identified issues. Responsibilities include assisting with overtime administration, maintaining documentation, monitoring staffing levels, processing scheduling adjustments, and comparing UKG information against records to ensure accuracy. The role also involves generating and distributing UKG reports, assisting employees and supervisors with UKG questions, and supporting workforce planning activities while maintaining confidentiality of sensitive information.

Requirements

  • High school diploma or equivalent required.
  • Relevant workforce scheduling, timekeeping, payroll, administrative, or workforce management experience may be considered in lieu of postsecondary education where permitted by contractual requirements.
  • Minimum two years of experience in workforce scheduling, timekeeping, payroll support, workforce administration, operations support, or a related administrative function.
  • Experience using UKG, Kronos, or another workforce management, scheduling, timekeeping, or payroll system.
  • Experience working with detailed employee scheduling, timekeeping, or workforce data.
  • Strong proficiency using computerized workforce management, scheduling, timekeeping, or payroll systems.
  • Ability to quickly develop advanced proficiency with UKG scheduling and timekeeping functions.
  • Strong attention to detail and ability to accurately enter, review, and reconcile large volumes of workforce information.
  • Knowledge of employee scheduling, shift coverage, overtime administration, timekeeping, and workforce administration practices.
  • Ability to identify scheduling, timekeeping, and workforce data discrepancies and coordinate appropriate corrections.
  • Ability to interpret and consistently apply scheduling procedures, company policies, established staffing practices, and applicable collective bargaining requirements.
  • Ability to work with employee schedules covering multiple shifts in a continuous 24-hour operation.
  • Ability to manage multiple priorities, schedule changes, staffing requirements, and deadlines in a high-volume environment.
  • Strong organizational, analytical, and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to communicate effectively with Detention Officers, supervisors, managers, Human Resources, Payroll, and corporate personnel.
  • Ability to maintain confidentiality and appropriately safeguard employee, scheduling, payroll, and workforce information.
  • Proficiency with Microsoft Excel, Outlook, Word, and other Microsoft Office applications.
  • Employees must always maintain a constant state of mental alertness.

  • Pass a pre-employment drug screening and have acceptable background check results.
  • If applicable to the contract, must also obtain and maintain the appropriate clearance levels required and must also be able to obtain access to military installations.

  • Associate's degree or higher in Business Administration, Human Resources, Management.
  • Experience supporting a fast-paced, high-volume, or continuous operation preferred.
  • Direct experience with UKG workforce management, scheduling, and timekeeping functions.
  • Experience administering employee schedules for a workforce of 500 or more employees.
  • Experience scheduling employees in a 24-hour, seven-day-per-week operation.
  • Experience with overtime administration, shift coverage, timekeeping, or payroll support.

  • Experience supporting security, detention, corrections, military, law enforcement, or another highly regulated operation.

Responsibilities

  • Support daily Detention Officer scheduling requirements by assisting with shift assignments, staffing vacancies, call offs, overtime, leave, training, shift changes, and other adjustments necessary to maintain operational staffing.
  • Ensure schedule changes and staffing decisions are accurately and promptly entered into UKG, so system records reflect actual employee assignments and scheduled work hours.
  • Review UKG schedules, employee time records, missed punches, exceptions, discrepancies, and other system information requiring correction or follow-up.
  • Coordinate with supervisors, Payroll, Human Resources, and Scheduling to resolve identified issues.
  • Assist with overtime administration and scheduling in accordance with established procedures, employee seniority, applicable collective bargaining requirements, and operational staffing needs.
  • Maintain appropriate documentation of scheduling and overtime activity.
  • Monitor staffing levels, scheduled hours, overtime hours, vacancies, absences, and other workforce information to assist operational leadership with daily staffing decisions.
  • Process scheduling adjustments resulting from approved leave, call-offs, employee status changes, training, temporary assignments, administrative actions, and other workforce events.
  • Compare UKG information against scheduling records and operational documentation to identify inconsistencies and ensure workforce records remain accurate.
  • Generate, review, and distribute UKG reports related to employee schedules, hours worked, overtime, attendance, staffing, timekeeping exceptions, and other workforce information as required.
  • Assist employees and supervisors with routine UKG scheduling and timekeeping questions and coordinate more complex system, payroll, or employment matters with the appropriate department.
  • Maintain accurate scheduling documentation, workforce trackers, overtime records, and other records necessary to support staffing operations and applicable contractual requirements.
  • Support Scheduling and operational leadership with schedule preparation, staffing projections, employee availability, shift coverage, and other workforce planning activities.
  • Maintain confidentiality of employee schedules, timekeeping information, personnel information, and other sensitive workforce records.
  • Perform other duties as assigned based on operational, contractual, and organizational requirements.
