Job Description Key Responsibilities Inspection Scheduling & Coordination Assist in scheduling required property inspections in coordination with the Inspection Division and Compliance staff. Track inspection appointments and confirm completion within established timeframes. Communicate scheduling updates and help resolve basic scheduling conflicts. Provide administrative support related to inspection logistics and documentation. Compliance Tracking & Follow‑Up Enter and maintain inspection results, findings, and corrective action details in tracking systems. Monitor deadlines for corrective actions and follow‑ups. Notify appropriate staff of upcoming deadlines or outstanding items. Assist in preparing correspondence related to inspection findings and compliance requirements. Interdepartmental Support Facilitate communication between Inspection, Compliance, Asset Management, and other teams. Assist in preparing materials for meetings related to inspections and compliance updates. Respond to routine internal and external inquiries regarding inspection status. Reporting & Documentation Maintain spreadsheets, tracking tools, and databases used to monitor inspection activity and compliance progress. Assist in compiling routine reports on inspection status and outstanding action items. Ensure documents are filed and maintained in accordance with Agency procedures. Process Support Identify data discrepancies or process issues and alert the supervisor as needed. Assist with updates to procedures and templates. Provide support during audits, reviews, or internal assessments by gathering requested documentation. Regularly works on tasks that are varied and complex. Applies full range of specialized skills and job knowledge; frequently adapts procedures, techniques, tools, materials, and/or equipment to meet specialized needs; may serve as lead; performs broad and/or focused assignments under general supervision; originality and ingenuity are often required to help establish procedures in functional area; relies on experience and judgment to plan and accomplish assigned tasks.

Requirements

  • Associate of Science - Public Administration, Planning and Organization
  • Relevant professional experience (1-3 years)
