Trusted Access Operations Specialist

OpenAI•San Francisco, CA
•$189,000 - $280,000

About The Position

The Trusted Access Operations Specialist owns and improves the customer access workflow for an assigned Trusted Access program. The role connects application and eligibility review, approvals, appeals, provisioning coordination, and support so customers can reach a clear, reliable outcome. It combines independent workflow ownership with hands-on operational judgment, with an emphasis on using complex cases to identify recurring problems and deliver product, automation, self-service, and support-process improvements. The specialist handles difficult eligibility and access escalations, helps customers and account teams understand blockers, and works with Product, Engineering, technical support, regional operations, and customer-facing teams to resolve issues. Success means customers obtain usable access with fewer avoidable delays, decisions remain accurate, and workflows operate reliably through the people and systems the specialist enables.

Requirements

  • Independently owned and improved customer support, onboarding, access, risk, or product-operations workflows in a complex service environment.
  • Can demonstrate durable improvements delivered through product changes, self-service, automation, or partner enablement, with evidence of adoption and better customer outcomes.
  • Exercises sound judgment when records conflict, requirements are unclear, or customers need urgent help; distinguishes evidence-supported conclusions from matters requiring an authorized decision.
  • Comfortable investigating across customer, account, approval, and access systems and translating operational problems into clear requirements for technical partners.
  • Uses operational data to identify root causes, prioritize work, and evaluate whether changes improved service.
  • Communicates clearly and empathetically under pressure, including when explaining difficult access decisions or unresolved blockers without making unsupported commitments.
  • Builds trust across teams they do not manage and follows through from proposed improvements to reliable day-to-day operations.

Responsibilities

  • Own the operational workflow for an assigned Trusted Access program from application through confirmed access and subsequent changes; identify customer friction and prioritize improvements by impact, risk, and effort.
  • Investigate complex eligibility, onboarding, and access cases by reconciling approval, verification, account, workspace, and provisioning records; apply approved requirements within the role’s authority and refer exceptions to the appropriate decision-maker.
  • Drive customer and account-team escalations through resolution by establishing blockers, maintaining ownership across handoffs, communicating realistic next steps, and confirming customers can use the intended capability.
  • Turn recurring case patterns into product and process changes with Product, Engineering, and customer-facing partners; define problems and requirements, help validate fixes, and measure effects on repeat contacts or manual work.
  • Create support playbooks, help-center content, training, and quality checks to make reliable resolution repeatable and enable frontline and outsourced support teams to handle more cases accurately and independently.
  • Use operational data to diagnose delays, rework, and decision errors, distinguish ticket closure from successful access outcomes, and refine workflows and priorities.
  • Develop and validate AI-assisted workflows and automation with technical partners, establishing appropriate checks, human review, and fallback paths.
  • Maintain clear documentation and qualified backup across programs, and share knowledge to ensure improvements continue when ownership changes.
