About The Position

We are seeking a Trim & Warranty Support Specialist to play a critical role in supporting daily operations. Working together with the team on daily basis, you would be assisting plumbing crews, warranty customers, builders, and internal departments with scheduling, dispatching, managing communication, documentation, and workflow coordination to complete plumbing jobs such as installations, repairs, and service requests. The ideal candidate for this role will be a detail-oriented individual, proactive, resourceful-critical thinker, solution-oriented, and capable of handling multiple responsibilities simultaneously while delivering strong customer service.

Requirements

  • Minimum of 2+ years of experience in customer support, operations coordination, dispatching, administrative support, or a similar role.
  • Strong computer proficiency, including data entry, documentation management, and typing skills.
  • Ability to prepare, review, and understand reports, spreadsheets, forms, and job-related documentation with accuracy.
  • Excellent verbal and written communication skills with strong customer service abilities.
  • Strong organizational, analytical, and problem-solving skills.
  • High attention to detail with a strong commitment to accuracy.
  • Ability to prioritize urgent matters and manage multiple responsibilities in a fast-paced, deadline-driven environment.
  • Ability to work effectively both independently and collaboratively across multiple departments.
  • This position requires prolonged periods sitting at a desk and working on a computer, typing, writing, and analyzing data.
  • Moving, carrying and lifting equipment weighing up to 30 pounds.
  • Moving throughout the building to perform daily tasks.
  • Ability to safely and successfully perform the essential job functions with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

  • Construction or plumbing industry knowledge and experience preferred.

Responsibilities

  • Handle a high volume of communications through phone, emails, and service requests system, and manage communication between field personnel and clients.
  • Research and analyze job history data and follow up with clients and field personnel based on findings to plan appropriate workflow promptly.
  • Create work orders and schedule jobs considering urgency, availability, and operational priorities.
  • Document and maintain accurate project information within the job management system to ensure accuracy and accountability.
  • Work closely with construction, inventory, and internal support teams to ensure job readiness and material availability.
  • Assist with coordination between departments to support smooth workflow and operational efficiency.
  • Participate in cross-training and provide backup support to team members when needed.
  • Help maintain strong internal and external customer satisfaction through timely follow-up and clear communication.
  • Support additional department projects and responsibilities as assigned.
