About The Position

This role is responsible for managing travel arrangements and ensuring adherence to company travel policies. The Travel Manager will handle various aspects of travel planning, including booking flights, hotels, and ground transportation, as well as managing meeting and event planning. The position requires expertise in travel systems, negotiation, and problem-solving to ensure efficient and cost-effective travel for the company and its employees.

Requirements

  • High School Diploma or equivalent is required.
  • Extensive knowledge of the GDS reservation system.
  • Ability to navigate web-based travel sites and the Internet for research and information.
  • Ability to read, define, and apply the airline tariffs and fare rules.
  • Able to work in a fast-paced environment, capable of prioritizing, multi-tasking and handle high volume effectively.
  • Maintain strict confidentiality of travel information as directed.
  • Ability to work autonomously and independently, combined with creative problem-solving skills.
  • Demonstrate a strong sense of urgency while maintaining exemplary detail accuracy under pressure.
  • Maintain a highly professional attitude and personal presentation in all verbal and written communications.

Responsibilities

  • Delivers prompt responses to voicemail and email requests.
  • Books American Express and Delta Skybonus Award travel as directed.
  • Offers expertise in complete meeting and event planning.
  • Provides group air, ground and hotel arrangements at both on-site at facilities and off-site venues.
  • Adheres to current travel policies and procedures set forth by the company. This includes following the approval process as required and attaching proper billing codes.
  • Processes voids, refunds, complex ticketing and exchanges.
  • Manages unused and partially used ticket file towards future travel.
  • Facilitates reporting between travel providers and Reser’s accounting team.
  • Negotiates contracts and rates resulting in savings on cars, hotels and airlines.
  • Set-ups and utilizes direct bill hotels when appropriate.
  • Identifies potential issues before they occur and take steps to avoid and/or resolve them.
  • Builds and maintains a successful team partnership with the Travel Agency Host that includes frequent communication.
  • Arranges for in-office back up from the agency to cover vacation, or if necessary off-site coverage for sick days.
  • Assists and arranges personal travel for company employees and their families as time allows or refers to specialized travel agency partner.
