Nightwing is seeking a cleared and experienced Travel Coordinator in the Fairfax VA area. The Travel Coordinator is responsible for tracking the program’s deployment schedule(s) and arranging safe, cost-efficient airfare for all program team members while being compliant with the “Fly America Act” and program policies. The Travel Coordinator makes scheduling recommendations to create efficiency, value and economies of scale. Other responsibilities include creating and tracking Electronic Clearances and reconciling the monthly corporate airfare credit card. The Travel Coordinator may initiate Visa/passport requests, create official correspondence cables, e-memos, and responds to emails coordinating field itineraries.

Requirements

  • Ability to plan, research and arrange/booking travel airfare itineraries per program TDY schedule and IAW policies and procedures.
  • May be required to make flight alterations after business hours.
  • Adjusts airfare itineraries for members already deployed.
  • Tracks schedule and adjusts TDY’s accordingly, as the sequence of destinations can and do change frequently.
  • Possesses excellent communication skills verbally and by email.
  • Advises/recommends travel airfare itineraries for the customer.
  • Provides airfare cost savings to the program and customer.
  • Conducts/participates in monthly reviews and identifies cost per project reporting.
  • Use Customer and program databases and spreadsheets to record, track, report travel related information, schedules, cost data etc.
  • Submits and tracks requests for VISAs and passports.
  • Creates Electronic Country Clearances (eCC) for each country of destination for each team member prior to their deployment.
  • Tracks all eCCs to ensure approval from post.
  • Mitigates any countries’ eCC concerns, and communicates such concerns to senior leadership in a timely manner.
  • Escalates eCC approval delays to the appropriate Project Officer based on region to expedite approval.
  • Continually maintains a global geopolitical awareness of all countries and their current conditions.
  • Assemble and assist in reconciliation of accounting of travel related expenses/accounting.
  • Must be a US Citizen and have an active TS/SCI clearance with polygraph from day one of employment and be crossover eligible.
