About The Position

Coordinates the daily operations of the trauma surgeons, trauma clinical practitioners and trauma staff office; scheduling and other clerical roles within the Department of Trauma Services. Provides direct secretarial assistance and support to the department. Participates in quality assessment and continuous quality improvement activities. Ensures compliance of all appropriate safety and infection control standards. Performs all job duties and responsibilities in a courteous and customer-focused manner according to the Hurley Family Standards of Behavior and Management Code of Conduct. Works under the supervision of the Senior Manager of Trauma Operations and/or the designee who assigns and reviews work for completeness and accuracy.

Requirements

  • High school diploma or equivalent.
  • Two (2) years of experience in responsible office work.
  • Knowledge of office practices and procedures.
  • Knowledge of business English and arithmetic.
  • Knowledge of medical terminology and physician billing procedures.
  • Ability to type from plain copy at the rate of fifty (50) words per minute.
  • Ability to gather and coordinate statistical data for medical research.
  • Ability to write legibly.
  • Ability to maintain and keep involved clerical records and to prepare accurate reports tabulations of such records.
  • Ability to understand and follow written instructions.
  • Ability to deal with patients, physicians, employees, the public tactfully and courteously.

  • Familiarity with graduate medical education programs and medical research preferred.

Responsibilities

  • Develops, monitors, and ensures adherence to policies and procedures to accomplish agreed-upon departmental objectives. Maintains efficient productivity and customer satisfaction standards.
  • Types from rough drafts of instruction forms, letters, receipts, records, vouchers, departmental reports, permits, or other materials frequently requiring independent action and direction and which may involve medical terminology. Composes routine letters and prepares rough draft report narratives and tabulations.
  • Maintains records, files, charts and other information. Makes more complex postings, reconcilements, and balances of clerical records that may require some knowledge of bookkeeping and billing procedures.
  • Assists in preparation of reports. Performs difficult information gathering. Completes complex calculations. Drafts routine and special reports or summaries that require knowledge of the policies, procedures, and operation of areas under director’s control.
  • Resolves problems, obtains information, and responds to inquiries or complaints in a manner requiring considerable knowledge about policies, procedures, and operations of the department.
  • Takes and transcribes minutes and/or Dictaphone transcription and prepares correspondence.
  • Receives telephone and personal callers, screens those which according to own judgment can be handled by others, and tactfully refers them to appropriate personnel.
  • Arranges meetings and conferences. Schedules interviews and appointments. Completes travel arrangements.
  • Performs miscellaneous clerical work as required, such as receipt and distribution of mail, requisitioning of supplies, operation of various office machines, and organizing luncheons.
  • Maintains departmental statistics. Creates excel spreadsheets. Works in all clerical roles within trauma services. Create power point presentations.
  • Coordinates with rotating residency programs and medical students. Prepare and distributes the yearly and monthly assignment schedules of the residents/medical students. Provides onboarding orientation for all new residents/medical students.
  • Coordinates all departmental continuing medical education (CME). Completes annual applications for CME offerings.
  • Performs other related duties as required/assigned. Utilizes new improvements and/or technologies that relate to job assignment.
