About The Position

The Transportation Clerk provides administrative support for full and part-time professional staff members and graduate students. This role involves generating reports and correspondence using various software programs, including word processing, spreadsheets, and databases.

Responsibilities

  • Check and send emails, specifically handling RTS IDs.
  • Open and process raw data from TMS via email.
  • Update information into Excel documents, copying and pasting from previous files and renaming.
  • Review TMS- Schedule by Day data to determine the dollar amount needed for routing.
  • Utilize the previous day's RTS file to prepare orders for shipping two days in advance.
  • Update TMS and RTS files based on the morning report from email.
  • Input raw data into the Excel data tab for RTS files.
  • Export stock status reports from Sage to Excel and paste into the stock status tab.
  • Retrieve sales order lines from Sage if sales price is needed and update the inventory tab from the item summary tab.
  • Input raw data into the Excel data tab for TMS files and update necessary prices in the invoice price tab.
  • Research and correct any errors in cells, such as missing pallet size information, by finding the number of pieces per pallet for the item and recording it.
  • Review the Production plan for Displays and Cradling, coordinating with Andrew, Ken, and Shae as needed.
  • Mark Purchase Orders (POs) as ready for shipment in the updated RTS file, planning ahead from the previous day's RTS file.
  • Use the TMS Supplier Hub portal to find POs that are ready to ship (status 'No' or 'partial') and have a destination facility and PO number.
  • Calculate cubic feet for the ready to ship tab (number of Pallets divided by 50 times 3000), save the calculation, and record the RTS confirmation number in the RTS Excel file.
  • Send emails with the RTS confirmation number to Susan/Monica/Kilah.
  • View Delivered and Transit tabs in TMS to determine if a PO is committed in Mobe and locate the BOL if committed.
  • Request Rachel to commit POs if they are not already committed.
  • Submit overage tickets for POs that were left off the truck.
  • Participate in safety and health program activities, including reporting hazards, unsafe work practices, and incidents, wearing required PPE, and supporting safety committee activities.
