About The Position

RailPros is seeking a Training Support Specialist to join their Training and Media Services team. This role is crucial for supporting daily training operations through administrative, operational, and office management tasks. The specialist will be responsible for printing and shipping training badges, fulfilling product orders, and managing office supplies and resources to ensure a functional and organized workspace. This position is key to maintaining efficient workflows, supporting instructors and internal teams, and delivering excellent service to clients and partners.

Requirements

  • High School diploma or equivalent
  • 3+ years in customer service
  • 1+ years in administrative support
  • Strong proficiency in Microsoft Office (Teams, Excel, PowerPoint, Outlook)
  • Effective communication with colleagues and customers
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently or in a team with a “can-do” attitude
  • Strong organization, attention to detail, problem-solving, multitasking, and independent thinking

Nice To Haves

  • Bachelor’s degree
  • 5+ years in customer service
  • 5+ years in administrative support
  • 1+ years of railroad experience
  • Railroad knowledge (preferred but not required)

Responsibilities

  • Respond to telephone calls and emails from customers, vendors, staff, and other contacts.
  • Address customer inquiries regarding RailPros training offerings.
  • Manage the instructor-led scheduling process before, during, and after training sessions.
  • Maintain accurate class records in LMS/Bistrainer.
  • Assign qualified instructors for virtual or instructor-led classroom events using Bistrainer.
  • Print, assemble, and ship classroom materials, as needed.
  • Print and ship participant badges or course completion certificates, as needed.
  • Manage the ordering process for office supplies to maintain adequate stock.
  • Coordinate RailPros conference space and manage events hosted therein.
  • Fulfill the responsibilities of the Training Support Associate during absences.
  • Perform other duties as assigned to meet business needs.
