About The Position

We are a nationwide provider of concealed carry and firearm safety training, working with a network of contractors to deliver state-compliant courses across the country. As our operations continue to expand, we are looking for a highly organized and self-driven Training Operations Support Specialist to help manage the behind-the-scenes work that keeps our programs running efficiently and in compliance. This role is a great fit for someone who is detail-oriented, takes initiative, and communicates professionally across all channels. You will support a wide range of operational functions — including state agency reporting, contractor onboarding, licensing and insurance compliance, inventory management, and customer relations — while serving as a collaborative bridge between the training team and other internal departments. You will also be a key point of contact for some external communications.

Requirements

  • Cognitive ability to excel in fact finding and follow through with the ability to specify and systemize tasks and processes
  • Strong written and verbal communication skills; able to represent the company professionally in all interactions, including cross-departmental coordination and sensitive customer relations situations
  • Experience maintaining detailed records, tracking performance metrics, and working with data-driven processes; strong Excel and reporting skills preferred
  • Ability to manage high-volume administrative tasks while consistently meeting established accuracy, quality, and productivity standards
  • Highly organized, strong attention to detail with experience meeting deadlines especially when managing compliance documentation
  • A collaborative team player who can work effectively across multiple departments while managing their own workload independently
  • Self-motivated and able to manage multiple priorities independently in a fast-paced environment
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.), Google Workspace, Slack, and Gmail
  • Comfortable working with state regulatory processes and compliance documentation; experience in a regulated industry is a plus

Responsibilities

  • Communicate professionally with instructors, clients, state contacts, and internal team members via phone, email, and messaging platforms
  • Prepare and submit internal and external reports — including required filings with state agencies related to concealed carry certification and instructor compliance — and generate ongoing operational reports related to contractor sales performance and key departmental performance indicators; track, maintain, and audit underlying records and membership application metrics, monitoring for discrepancies and collaborating with internal teams to ensure data integrity and timely resolution of issues
  • Review, sort, and respond to Better Business Bureau (BBB) complaints in a timely and professional manner, working with internal stakeholders to investigate and resolve customer concerns
  • Coordinate cross-departmentally with Accounting, Marketing, Product/Platform, and Fulfillment teams to support department needs, share relevant information, and ensure alignment across the organization
  • Manage and coordinate ordering of training materials and supplies
  • Process Membership applications accurately and efficiently while meeting established productivity and quality benchmarks, including maintaining target processing rates for contractor-related failed contact attempts and follow-up activities
