About The Position

This role ensures the efficiency and consistency of operations within the Central Records Department by leading all training-related functions. The primary focus is on developing, coordinating, and delivering onboarding, cross-training, and performance refreshers across the Front Counter, Docket Team, Scan Room, and Legal units. The Training Coordinator also assists with scheduling, coverage, and workflow alignment while exercising professional judgment and initiative in carrying out assigned duties.

Requirements

  • Five (5) years’ experience in an increasingly responsible administrative capacity
  • Bachelor’s degree from an accredited college or university in public or business administration, education, or closely related field; or An equivalent combination of related education and/or experience.
  • Strong knowledge of court records management and Central Records operations.
  • Advanced organizational, coordination, and communication skills.
  • Ability to create, facilitate, and evaluate training programs across multiple departments.
  • Sound judgment and problem-solving ability in operational settings.
  • Proficiency in Microsoft Office and electronic records systems.
  • Ability to analyze workflow issues and recommend improvements.
  • Commitment to professionalism, accuracy, and customer service excellence.
  • Subject to a background check for any convictions that have a substantial relationship to potential job duties.
  • Must be a resident of Shelby County and shall continue to reside in the County as a condition of employment (with specific exemptions for certain public safety/civil service roles).

Responsibilities

  • Conducts ongoing training needs assessments across Central Records units to identify skill gaps, procedural inconsistencies, and opportunities for improvement.
  • Designs, coordinates, and facilitates comprehensive training and cross-training programs for all Central Records functions including Front Counter, Docket, Scan Room, and Legal.
  • Develops and maintains training schedules, coverage plans, and task reassignments to ensure uninterrupted operations.
  • Creates, updates, and distributes standard operating procedures (SOPs), manuals, and training materials to reinforce consistency and accuracy across departments.
  • Tracks trainee progress, maintains training databases, and provides feedback and evaluations to management on staff performance and development needs.
  • Collaborates with supervisors to establish expectations, reinforce accountability, and monitor adherence to established procedures.
  • Assists with scheduling, workload balancing, and coverage coordination during training or transition periods.
  • Performs other related duties as required or directed.
