About The Position

We are seeking a highly organized and detail-oriented Training & Compliance Coordinator to support our Mosaic Apprentice Program (MAP) as well as various overarching training initiatives. In this role, you will serve as the central point of coordination for student experience, compliance, and program operations—ensuring that every stage, from onboarding through clinical documentation and professional development, runs smoothly and efficiently.

  • Organized, driven and self-motivated, bringing energy and good communication skills
  • Must be able to commute to the Charlotte office daily
  • Previous experience in customer service
  • Ability to utilize Microsoft Excel or Google Sheets with little to no guidance
  • Ability to navigate Central Reach with limited guidance

Responsibilities

  • Serve as the primary administrative point of contact for the Mosaic Apprentice Program (MAP).
  • Manage the dedicated student inbox and oversee the end-to-end documentation process to ensure record accuracy.
  • Streamline the student entry experience by coordinating all onboarding requirements.
  • Audit student clinical hours for regulatory compliance, performing cross-system checks and communicating discrepancies to students and Clinical Directors.
  • Facilitate professional development by scheduling and managing monthly group supervision sessions.
  • Process and document Continuing Education Unit (CEU) requests for BCBA staff.
  • Oversee RBT compliance by tracking the mandatory monthly supervision hours and ensuring contacts are documented.
  • Communicate discrepancies to Clinical Directors.
  • Monitor the completion of standardized clinical outcome measures (e.g., Vineland-3, PDDBI, SRS-2) to ensure adherence with policy.
  • Facilitate regular communication with BCBAs and Clinical Directors to identify where outcome documentation is missing or incomplete.
  • Manage complex spreadsheets and synthesize information across multiple platforms to maintain data integrity and support program analysis.
  • Maintain detailed documentation regarding team member progress, credential status, and pertinent program information.
  • Maintain predictable, reliable, and prompt attendance.
  • Perform other duties as assigned to support the evolving needs of the organization.
  • Streamline the student entry experience by coordinating all onboarding requirements and managing the logistical setup for orientation sessions, ensuring a seamless transition for new cohorts.
  • Facilitate professional development by scheduling and managing monthly group supervision sessions while acting as a key liaison between students and leadership to ensure program standards are met.
