About The Position

Under the supervision of the Director of Member Events and Training, the Training and Events Coordinator is responsible for day-to-day logistical and planning support for the CACTX training program and CACTX meetings and events.

Requirements

  • 1–3 years of administrative, event coordination, training support, or nonprofit operations experience.
  • Strong proficiency in Microsoft Office (Outlook, Word, Excel, Teams, SharePoint, and Power Point), Adobe, Zoom, and standard office equipment.
  • Experience with meeting and event support.
  • Strong attention to detail.
  • Excellent customer service and interpersonal skills.
  • Excellent written and oral communication skills.
  • Ability to adapt and manage multiple projects simultaneously, work independently, prioritize responsibilities, and identify and resolve conflicts in a timely and appropriate manner.
  • Candidates must reside in the Austin, Texas area and have reliable transportation with the ability to travel to CACTX’s Austin office as required.

Responsibilities

  • Supports in-person trainings, including, but not limited to, registration, pre-event communication with trainers and participants, day-of event support, post-event communication, evaluation collection, set up of the physical space for trainings, catering, basic technology support, preparation of materials, agendas, handouts, rosters, and evaluations.
  • Supports CAC virtual trainings and virtual peer reviews, including, but not limited to: registration, pre-event communication with trainers and participants, day-of event support (platform support, welcome and announcements, attendance, opening/closing meetings), post-event communication, and evaluation collection.
  • Maintains working knowledge of the learning management platform to support creation of trainings, support registration, and act as technical coordinator for virtual trainings.
  • Maintains working knowledge of project management platform, including building and updating projects and tasks related to trainings and events.
  • Processes post-training documents and materials including sign-in sheets, reports, evaluations and training certificates.
  • Maintains timely communications and fosters positive relationships with CACTX training faculty, contractors, and participants.
  • Provides support for training data collection.
  • Provides support for training invoice processing.
  • Provides coordination for CACTX meeting and events, including, but not limited to, set up of the physical space, arranging catering, ordering and stocking supplies, basic technology support, preparation of materials, and providing facility support as needed.
  • Provides coordination support for CACTX member events, including procurement support, event registration setup, communication support, day-of event coverage support, and follow up evaluation and communication support.
  • Supports off-site and regional training offering logistics and communications as needed.
