Events and Experiences Coordinator

RoktNew York, NY
$75,000 - $105,000Hybrid

About The Position

We are looking for someone to help deliver exceptional event experiences for our external clients, prospects, and partners. The Events & Experiences team designs and runs moments that build connection, deepen trust, and strengthen how people experience Rokt. The right person is highly organized, detail-oriented, calm under pressure, and energized by helping bring people together. You do not need to have years of event experience, but you should have strong judgment, a service mindset, a bias for action, and genuine pride in delivering a high standard. Success in this role will be measured by your ability to keep event workstreams organized, communicate clearly, anticipate details, support smooth execution, and help deliver experiences that reflect positively on the Rokt brand.

Requirements

  • Some experience or demonstrated interest in events, hospitality, marketing, employee experience, project coordination, or operations.
  • Strong organizational skills and high attention to detail.
  • Clear written and verbal communication skills, with the ability to keep stakeholders aligned and close the loop.
  • Bias for action — you see what needs to be done, move quickly, and follow through.
  • Service mindset and strong judgment, especially when supporting guests, clients, partners, senior leaders, or internal teams.
  • Ability to manage multiple moving pieces at once while staying calm and reliable under pressure.
  • Comfort working in Google Workspace, spreadsheets, project trackers, and common event or marketing tools.
  • AI proficiency — you use AI tools to improve speed, quality, and organization while applying good judgment.
  • Willingness to be hands-on during events, including setup, logistics, and on-site support.
  • Ability to travel up to 20% of the time to support events on location.

Nice To Haves

  • Experience with tools like HubSpot, Splash, Asana, Ramp, or similar platforms is a plus.

Responsibilities

  • Support the planning and execution of internal and external events, hospitality moments, client experiences, gifting programs, and activations.
  • Coordinate event logistics including attendee lists, registration details, venue research, vendor coordination, run-of-show documents, shipping, materials, signage, catering, and on-site support.
  • Maintain clear trackers, timelines, checklists, and project documentation so the team always knows what is happening, who owns what, and what is due next.
  • Partner with internal teams including Marketing, Creative, GTM, Client Success, Rokt’star experience, EAs, and Hi!Tech to deliver smooth and consistent experiences.
  • Support event communications, including drafting updates, reminders, guest details, post-event follow-ups, and internal stakeholder summaries.
  • Help source and coordinate vendors, venues, gifting items, supplies, and event materials while ensuring deliverables are on time and aligned to the brief.
  • Support budget tracking, invoice routing, and expense documentation in partnership with the team and Finance.
  • Assist with on-site execution, including setup, guest check-in, troubleshooting, stakeholder support, and post-event pack-down.
  • Capture learnings after events through feedback, retros, and post-event notes to help the team improve future experiences.
  • Use AI tools thoughtfully to accelerate drafting, planning, research, logistics, and project coordination.
  • Research vertical based events and opportunities for the Rokt GTM team.
