About The Position

The Training and Events Coordinator is responsible for the program management of a training program for a large pharmaceutical client. This role focuses on achieving operational excellence through meticulous process management, planning, monitoring, tracking, reporting, project alliance, and overall project management.

Requirements

  • Strong planning and project management skills, well-organized, focused on results, capable of managing multiple projects with respect to priorities
  • Excellent communication skills (verbal, written, presentations) and interpersonal skills with the ability to work in cross-functional teams
  • Self-driven and proactive, comfortable delivering as a team leader, team member, and individual contributor
  • Excellent at building and maintaining constructive and effective relationships with internal and external stakeholders

Nice To Haves

  • Experience in medical affairs and/or medical education is an asset
  • Bilingualism (French and English) is an asset

Responsibilities

  • Lead the implementation and program oversight of the training program
  • Open and close events in Salesforce CRM (populate event information, FMV rates, sign contracts, upload sign-in sheets/connectivity reports, process honoraria for trainers)
  • Liaise with trainers to schedule training sessions for virtual and in-person events
  • Maintain the training dashboard and ensure integration with Veeva and webinar platforms (e.g. Zoom meetings and Organon Academy) for HCPs; ensure automation of calendar holds, automated reminder emails, post-meeting evaluation survey, and send Certificate of Completion to attendees
  • Ensure timely shipment of training kits and training applicators to HCP trainees
  • Forecasting of annual, monthly inventory and reconciliation of training kits and applicators
  • Manage communications for HCP inquiries for the training program
  • Update and maintain/revalidate resources including resource guides for field representatives, Client website, training kits
  • Ensure strategic alignment between Medical Affairs and Commercial organization
  • Lead the implementation and oversight of independent training requests and ad hoc training supply requests
  • Communication with trainers for their training needs
  • Ensure shipment of training kits and training applicators to trainers
  • Maintain inventory management and orders of training kits and applicators
  • Maintain and reconciliation of inventory management for field representatives
  • Communicate and work cross-functionally with Client’s Medical Affairs for budget and executional oversight
  • Communicate and work cross-functionally with Client’s Field teams to ensure scheduling and logistical aspects of the event are adequate
  • Communicate and work cross-functionally with the Compliance team to ensure all aspects of the events meet the compliance requirements
  • Partner with the client’s cross-functional teams to streamline and simplify processes and improve efficiency and productivity by identifying opportunities for optimization of the training program
  • Ensuring the training program abides by the Innovative Medicines Canada Code of Ethical Practices
  • Ensure that all designated training are completed in the learning platform by due date
