About The Position

At Philip Morris International (PMI), we're transforming our business and building a smoke-free future. This role involves coordinating training schedules, session logistics, communications, materials, attendance tracking, and documentation. You will maintain training, enrollment, completion, and qualification records in learning management systems and other approved databases, ensuring accuracy, completeness, and compliance. The role also includes tracking training and recertification deadlines, preparing reports, supporting audits, responding to inquiries, and providing administrative support to the Operations Training team. You will follow established procedures, confidentiality standards, and records-retention requirements while identifying opportunities for process improvement.

Requirements

  • High school diploma or equivalent required
  • Proficiency with Microsoft Excel, Outlook, Teams, and SharePoint.
  • Strong attention to detail and ability to maintain accurate records and meet deadlines.
  • Effective communication and interpersonal skills with the ability to support employees across functions.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment.

Nice To Haves

  • Additional education in Business Administration, Human Resources, Information Systems, or a related field preferred.
  • Experience in administrative support, training coordination, records management, compliance documentation, or learning management systems preferred.

Responsibilities

  • Coordinate training schedules, session logistics, communications, materials, attendance tracking, and documentation.
  • Maintain training, enrollment, completion, and qualification records in learning management systems and other approved databases.
  • Manage electronic and physical training records to ensure accuracy, completeness, and compliance.
  • Track training and recertification deadlines and communicate reminders to employees and supervisors.
  • Prepare and maintain reports and trackers for training completion, qualifications, overdue items, and data quality.
  • Support audits and compliance reviews by retrieving records and compiling required documentation.
  • Respond to routine training-related inquiries and escalate complex issues as needed.
  • Provide administrative support to the Operations Training team, including meeting coordination, document preparation, data entry, and file management.
  • Follow established procedures, confidentiality standards, and records-retention requirements while identifying opportunities for process improvement.
