About The Position

PMMI, The Association for Packaging and Processing Technologies, is seeking a Trade Show Assistant to provide overall support to the Show Department. This role will primarily focus on Exhibitor and Attendee Services but will also involve various facets of the department, including operations and marketing. Responsibilities

  • Provide exhibitor and attendee customer service, including responding to emails and phone inquiries.
  • Assist current exhibitors with show planning, accessing the Exhibitor Resource Center, and updating online profiles.
  • Maintain data integrity of exhibitors' records in Salesforce and Map Your Show, and follow up on returned mail and emails.
  • Participate in the execution of booth selection for domestic shows, including sending exhibit space confirmations.
  • Process Exhibit Space Applications in Map Your Show, assign booth space, and ensure confirmation is sent to exhibitors.
  • Proofread floor plans, show guides, and other show-related documents.
  • Process Affiliate Listing forms and confirm with all involved companies.
  • Collect and produce materials for the Staff Book for domestic trade shows, including on-site information sheets and updating staff assignments.
  • Assist the International Trade Show Manager with processing PMMI Pavilion Contracts for EXPO PACK Shows, including data entry and confirming contact information.
  • Assist the Accounting department with trade show payment collections.
  • Assist in the production and collection of Independent Contractor Agreements for show contractors.
  • Manage on-site trade show duties, including the Lost and Found program, reserving meeting rooms, on-site exhibit sales, and collecting post-event feedback.
  • Assist with administrative tasks for EXPO PACK events, including processing contracts, supplemental exhibitor orders, and proofing exhibitor materials.
  • Serve as the Show Department liaison to the Communications Social Media team, focusing on content creation for social media channels.
  • Perform general filing of applications and other miscellaneous items.
  • Travel to annual trade shows and other events to assist with on-site duties and booth sales for future trade shows.
