About The Position

The Title Plant Maintenance Specialist is responsible for ensuring the accuracy, organization, and efficiency of a title plant database by regularly updating and verifying property records. This is a companywide role crucial in maintaining the integrity of title searches and supporting the title insurance process. When complex situations arise, the expectation is for self-management with collaboration with peers in addressing issues. If necessary, escalation to Leadership and Title Officers should occur to ensure proper resolution and continuity of operations.

  • Ability to maintain focus and accuracy while performing repetitive and detail-oriented tasks for extended periods.

Nice To Haves

  • Prior experience in automating and managing electronic title plants.
  • Technical knowledge of indexing methodologies and document management systems.
  • Experience with off-site data backup and security protocols.

Responsibilities

  • Regularly incorporate new property records, including deeds, mortgages, liens, and other recorded documents, into the title plant database.
  • Organize and categorize records accurately to facilitate easy retrieval and efficient searches.
  • Ensure all entries are accurate, complete, and compliant with industry standards.
  • Operate specialized title plant management software, including features such as image import, indexing, and searching.
  • Conduct periodic audits of the database to verify data integrity and ensure compliance with established guidelines.
  • Assist in the automation of historical title plant records, ensuring proper digital conversion and indexing.
  • Work closely with title officers, examiners, and other stakeholders to provide accurate data for title searches and insurance underwriting.
  • Ensure proper data backup and security protocols are followed to protect sensitive information.
  • Perform other related duties as assigned to support team and business needs.
  • Self-manage and collaborate with peers in addressing complex situations, escalating to Leadership and Title Officers if necessary for proper resolution and continuity of operations.
