About The Position

The TEP Data Manager manages and oversees all data and reporting functions for the Teacher Education Program, ensuring compliance with accreditation, licensure, and continuous improvement requirements. They will collect, analyze, maintain, and report candidate and program data; support faculty with assessment-driven decision-making; and prepare accreditation documentation for agencies such as CAEP, ACSI, EPSB, and SACS. The role requires strong data management, reporting, and organizational skills, along with experience using Excel and educational data systems.

Requirements

  • In-depth knowledge of teacher education accreditation and approval requirements, including CAEP standards, ACSI standards, Kentucky EPSB regulations, and SACS expectations.
  • Understanding of educator preparation program assessments, clinical practice models, and P-12 impact measures.
  • Expertise in data disaggregation, trend analysis, and longitudinal data tracking across cohorts and programs.
  • Experience with assessment systems, learning management systems (LMS), student information systems (SIS), and accreditation management platforms.
  • Knowledge of data governance practices, including data integrity, version control, audit trails, and documentation protocols.
  • Ability to design and manage databases or structured data systems tailored to educator preparation programs.
  • Proficiency in quantitative and qualitative data analysis related to candidate performance and program effectiveness.
  • Familiarity with survey design and analysis for employer and completer feedback.
  • Understanding of ethical data use and confidentiality requirements in higher education.
  • Strong organizational and project management skills to manage multiple reporting cycles and accreditation timelines.
  • Ability to translate complex data into clear, actionable insights for faculty, administrators, and external reviewers.
  • Experience supporting continuous improvement processes and documenting evidence of impact on P-12 student learning.
  • A bachelor’s degree.
  • A basic knowledge of Google/Microsoft suite with a working knowledge of Excel (specifically creating and managing pivot tables and data formatting).

Responsibilities

  • Oversee the full data lifecycle for the Teacher Education Program, including data collection, validation, storage, analysis, reporting, and archiving.
  • Manage and maintain candidate-level and program-level data required for accreditation, licensure, and continuous improvement.
  • Collect, organize, and disaggregate data by licensure area, degree level, delivery mode, and demographic categories as required by accrediting agencies.
  • Coordinate date collection for key assessments, including lesson plans, assessments, Teacher Work Samples (TWS), clinic evaluations, student work samples, and disposition measures.
  • Maintain accurate records for clinical experiences, cooperating teacher placements, partnership agreements, and field-based evaluations.
  • Compile and prepare annual, semester, and ad hoc reports for CAEP, ACSI, EPSB, and SACS, including evidence for site visits and off-site reviews.
  • Track and report graduate outcomes, including licensure pass rates, employment data, employer satisfaction, and completer satisfaction for up to five years post-graduation.
  • Ensure data security, confidentiality, and compliance with accrediting agencies and institutional policies.
  • Support faculty in understanding assessment data and using results for program improvement.
  • Maintain documentation of data-driven decisions, action plans, and program changes for accreditation evidence.
  • Collaborate with faculty, staff, and institutional research offices to ensure consistency and accuracy across reporting systems.
  • Manage timelines and submission schedules for accreditation reports and state approvals.
  • Performs other duties as may be assigned by the supervisor.
