About The Position

Under moderate supervision, assist the current records clerk with the organization and scanning of historical records to electronic storage. This role involves general clerical assistance, including managing physical and computerized departmental files, preparing correspondence, and maintaining records. The position requires maintaining confidentiality and handling work with frequent interruptions while maintaining emotional control under stress.

Requirements

  • High school diploma or GED
  • Satisfactory outcome of fingerprinting background check.
  • Ability to speak, read, and understand English
  • Ability to read and comprehend instructions
  • Proficient in keyboarding, 10-key numerical data entry, and file maintenance
  • Ability to effectively present information in one-on-one situations
  • Effective public relations, organization, communication, and interpersonal skills
  • 1 year of clerical experience in an office setting

Responsibilities

  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet visitors (e.g. public, parents, students, substitutes, vendors, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
  • Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
  • Receive deliveries and disseminate materials and information to the appropriate parties.
  • Prepare correspondence, forms, reports, etc., for the department using personal computer.
  • Maintain physical and computerized departmental files.
  • Maintain other records as needed.
  • Provide clerical assistance as needed.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Maintain confidentiality.
