About The Position

The College of Architecture, Art, and Planning (AAP) at Cornell University is seeking a Temporary Building Coordinator III to provide day-to-day facilities support for its buildings, spaces, faculty, staff, and students. This role serves as an entry point into the Facilities organization, offering opportunities to develop knowledge in building operations, maintenance, customer service, project coordination, and facilities management. The Building Coordinator will work under the direction of the Assistant Director of Facilities and other experienced staff, learning university processes and procedures to recognize and address basic facilities issues, seeking assistance when needed. The position requires a strong commitment to customer service, flexibility, and the ability to work both independently and collaboratively.

Requirements

  • Ability to develop and maintain effective working relationships with a wide variety of people.
  • Ability to coordinate and prioritize multiple projects with tight deadlines in order to satisfy the occupants as well as the project coordinators.
  • Strong organization and customer service skills.
  • Experience with Microsoft Office, 25Live, and general fluency working within web-based applications.
  • Must have a clean driving record and maintain a license.
  • Ability to cultivate and develop inclusive working relationships with students, faculty, staff, and community members.

Responsibilities

  • Moving and arranging furniture, supplies, and equipment.
  • Investigating and helping coordinate the repair of basic maintenance issues.
  • Monitoring building cleanliness and general conditions.
  • Removing recycling and trash.
  • Assisting with the ongoing care and stewardship of AAP facilities.
  • Supporting building walkthroughs and inspections, identifying potential safety or maintenance concerns, and communicating issues to the appropriate Facilities or campus partner.
  • Assisting with follow-up to ensure work is completed.
  • Supporting the Assistant Director on larger facilities projects and other initiatives as assigned.
  • Maintaining and utilizing the college-level facilities request ticketing system, including entering, updating, tracking, and following up on service requests.
  • Ensuring requests are appropriately communicated and that faculty, staff, and students receive timely updates regarding their facilities concerns.
  • Building and maintaining trust with faculty, staff, and students through a consistent service-oriented attitude.
  • Providing timely, accurate, professional, and tactful client feedback and information regarding facilities requests.
  • Responding to changing needs and priorities due to the wide range of academic activities supported by AAP facilities.
  • Working independently on routine assignments and collaboratively with Facilities staff and campus partners on more complex needs.
  • Fostering a culture of belonging and a healthy work environment by communicating across differences, being cooperative, collaborative, open, and welcoming, showing respect, compassion, and empathy, engaging and supporting others, speaking up when others are being excluded or treated inappropriately, and supporting work/life integration.
  • Acting as a liaison between AAP’s five departments, staff, faculty and University’s Facility and Campus Services trades in addressing maintenance issues; including investigating and reporting problems.
  • Issuing Maximo tickets for AAP buildings.
  • Communicating with AAP staff and faculty to ensure maintenance work does not interrupt the core academic and administrative missions.
  • Performing daily inspections of the buildings and grounds.
  • Coordinating events to ensure their success, including setups and take downs.
  • Coordinating custodial services for larger events.
  • Ensuring technology is delivered and ready for events, in coordination with the college’s IT team.
  • Assisting with scheduling and coordinating caterers.
  • Working with local safety and compliance officers to ensure events and furniture layouts follow all state and federal regulations.
  • Assisting with moving offices, office suites, equipment, and supplies, including to and from the college’s offsite storage.
  • Assisting with art and architecture studio cleanouts, including removal of garbage, rearranging desks, and deep cleaning spaces.
  • Rearranging furniture as needed for annual floor waxing and cleaning.
  • Receiving large deliveries and daily mail.
  • Providing faculty and staff assistance in moving and setting up equipment and furniture, ensuring delicate equipment is moved carefully and professionally.
  • Ensuring storage at the offsite warehouse is properly maintained and inventoried.
  • Ensuring room readiness through the set-up and takedown of furniture for events and classes, including delivering furniture and equipment daily.
  • Working with other facilities and shop staff to build and install custom furniture to support special events when required.
  • Consolidating recycling and waste items from five AAP buildings in support of Cornell's Sustainability Action Plan.
  • Participating in projects or other duties as assigned.
  • Completing any university-required compliance trainings.
