About The Position

We are an events agency operating at the intersection of live experience and enterprise technology. Our VP of Technology focuses on the strategic layer—activations, technology partner management, and emerging event tech—and needs a capable, self-directed operator to own the day-to-day. This is not a helpdesk or infrastructure engineering role. It’s a business systems and vendor coordination role—one that requires equal parts organizational discipline, platform familiarity, and clear communication. You’ll manage the platforms and vendor relationships that keep our teams moving, coordinate with our managed service provider and technology partners, and be trusted to exercise judgment without waiting to be directed. The right person for this role doesn’t wait to be told what to do. They scan for gaps, ask good questions, and close loops. They understand that behind every support request is a person trying to do their job, and they treat urgency and follow-through as non-negotiables. This role is a bridge—between our VP of Technology and the platforms, vendors, and internal teams that depend on reliable systems. You’ll succeed here if you take pride in operational precision, communicate proactively, and understand that the VP’s ability to stay strategic depends on your ability to stay detail-oriented. Requirements

  • 2–4 years of experience in a technology operations, IT coordinator, or business systems support role.
  • Hands-on experience administering a project management or work management platform (Asana strongly preferred; Monday.com or Smartsheet considered). Training provided in lieu of direct Asana experience.
  • Working knowledge of Microsoft 365 (Teams, SharePoint, Exchange, Entra ID) and comfort navigating the admin environment.
  • Demonstrated ability to manage external vendors and third-party service providers—tracking deliverables, holding partners accountable, and escalating appropriately.
  • Strong organizational skills with high attention to detail and a bias toward written, documented communication.
  • Clear written and verbal communicator; able to work effectively with both technical and non-technical stakeholders.
  • Self-starter who takes ownership of ambiguous problems without requiring step-by-step direction.

Nice To Haves

  • Experience with Cvent (any module) at an administrative or access-management level.
  • Familiarity with Microsoft Dynamics 365 in a coordination or light-admin capacity.
  • Prior experience at an events agency, hospitality company, or similarly fast-paced client-services environment.
  • Exposure to technology procurement through CDW, Provantage, or comparable channels.
  • Asana Certified Pro or equivalent platform certification.

Responsibilities

  • Own user provisioning, deprovisioning, role management, and organizational hygiene across the Asana instance.
  • Partner with department leads to build and maintain project timelines and templates that support how teams actually work.
  • Serve as the internal Asana point of contact: troubleshoot issues, support new users, and coordinate with Asana support when needed.
  • Identify and flag improvements to how work is tracked; implement changes in coordination with the VP of Technology.
  • Manage user access, roles, and permissions within our Cvent instance.
  • Handle routine administrative tasks: user onboarding/offboarding, basic configuration updates, and access audits.
  • Act as the internal contact for Cvent-related operational questions, coordinating with Cvent support when needed. Event building and platform configuration remain with specialist staff.
  • Serve as the primary internal liaison to our managed service provider (ISG) for day-to-day MS365 administration, ticket escalation, and service delivery oversight.
  • Monitor MSP responsiveness and quality; escalate issues to the VP of Technology when service levels are not met.
  • Coordinate MS365 changes, licensing additions, and access requests on behalf of internal stakeholders.
  • Support new employee onboarding by coordinating with the MSP to ensure accounts and access are set up correctly and on time.
  • Manage the day-to-day relationship with our Dynamics third-party administrator—tracking open items, coordinating updates, and ensuring change requests are completed accurately.
  • Translate business needs from internal stakeholders into clear, documented requests for the Dynamics vendor.
  • Maintain a log of active and completed changes; surface patterns or recurring gaps to the VP of Technology.
  • Own day-to-day relationships with technology suppliers including CDW and Provantage—managing procurement requests, tracking orders, and ensuring accurate delivery and billing.
  • Assist with vendor contract renewals, software licensing, and hardware lifecycle tracking.
  • Maintain organized records of vendor contacts, contracts, and purchase history.
