We are seeking an organized, resourceful, and mission-driven Technical Project Coordinator to join our growing Solutions team. This role is the team's all-around helper—providing administrative and program support, keeping our applications and tools running smoothly, and coordinating web work so it stays on track. You'll serve as a dependable right hand to our program manager, taking day-to-day execution off their plate so that programs run smoothly and nothing falls through the cracks. You'll work closely with stakeholders across the organization to keep our digital outreach efforts moving forward effectively and responsibly.

Requirements

  • 2–4 years in administrative, operations, program coordination, or a generalist support role.
  • Excellent organization and the ability to juggle many tasks, requests, and deadlines at once.
  • Demonstrated ability to coordinate work across people—negotiating timelines, tracking dependencies, and following up to closure.
  • Comfort administering or configuring everyday SaaS tools (e.g., CMS, project management, CRM).
  • Basic familiarity with how web content and projects come together (CMS, assets, design/dev handoffs).
  • Sharp attention to detail and a proactive, service-oriented, problem-solving mindset.
  • Excellent written and verbal communication with both technical and non-technical partners.

Nice To Haves

  • Experience supporting a program or project manager, or working within a PMO.
  • Familiarity with HTML/CSS, web analytics, accessibility, or SEO basics.
  • Experience writing documentation or running internal enablement.
  • Familiarity with tools such as Asana, Jira, Trello, Microsoft 365, or Google Workspace.

Responsibilities

  • Provide day-to-day administrative support to the Solutions team and its program manager—scheduling, meeting prep, notes, and follow-ups.
  • Help coordinate programs and projects: track tasks, timelines, and action items, and chase down updates so deadlines are met.
  • Serve as a point of contact for incoming requests—logging, prioritizing, resolving what you can, and routing the rest.
  • Prepare and format documents, reports, and presentations, and keep shared files and trackers organized.
  • Perform light administration of the team's applications and tools (e.g., CMS, ClickUp, CRM, collaboration platforms)—managing users, access, and routine configuration.
  • Handle day-to-day tool requests and basic troubleshooting; escalate larger issues to IT or vendors.
  • Keep data tidy and accurate across systems, and verify integrations and tracking are working as expected.
  • Identify and set up small workflow improvements and automations that save the team time.
  • Coordinate web requests and updates end to end—turning incoming asks into clear plans with owners, dependencies, and deadlines.
  • Negotiate and manage timelines with stakeholders and contributors, balancing priorities and setting realistic expectations.
  • Make sure the people responsible for each task know what they own and when it's due, and follow up to keep work on track.
  • Confirm contributors have the assets, copy, designs, and access they need to deliver—chasing down anything that's missing.
  • Track web work across the pipeline, flag risks and blockers early, and keep stakeholders updated through to launch.
  • Create and maintain process docs, templates, and an internal knowledge base so the team works consistently.
  • Document how recurring tasks and requests are handled and keep runbooks current.
  • Help onboard and support teammates on tools and standard processes.
