About The Position

This position is hybrid. Are you tech-savvy, detail-oriented, and passionate about using data and technology to help a team work more effectively? Are you interested in working with department administration to run reports, track information, and coordinate departmentwide initiatives? In this role, you’ll serve as a go-to resource for department-specific software, databases, and technology while helping staff coordinate meetings, comply with processes, and support administrative aspects of a large governmental operation. You’ll maintain mission-critical systems, analyze data, create reports, troubleshoot technical issues, and work closely with staff on special projects.

Requirements

  • Must be a high school graduate or have a certificate of successful completion of the General Education Development (GED) Test.
  • Have had four (4) years of increasingly responsible experience assisting professional level staff in the compilation and preparation of divisional reports or performing data input and maintenance; at least one (1) year of which included the use of specialized departmental software applications.
  • Course work at an accredited college, university, business, or commercial school in a related area may be substituted for up to three (3) years of the experience on a year‑for‑year basis.
  • Considerable ability and skill in compiling and abstracting divisional data in preparing special and annual reports.
  • Considerable knowledge of and ability to utilize current word processing, spreadsheet, database, e-mail, and Internet software.
  • Reasonable knowledge of the methods of conducting research and evaluating collected data.
  • Reasonable ability to prepare and present effective written reports, graphs, and charts.
  • Reasonable ability to make and carry out administrative directives in accordance with divisional policies and procedures.
  • Functions as a lead worker over lower-level clerical staff, students, summer employees, and college interns by instructing, training, and distributing work.
  • Ability to communicate to accurately convey information.
  • Ability to produce reports in multiple formats.

Responsibilities

  • Maintain and update mission-critical databases and department-specific software applications.
  • Research, compile, and analyze data to create regular, special, and customized reports.
  • Serve as a technical resource for staff and assist with troubleshooting software and hardware issues.
  • Partner with Information Technology to help resolve more complex technical problems.
  • Collect data and compile statistics to support departmental reporting and decision-making.
  • Assist administrative level staff by coordinating departmentwide initiatives and efforts.
  • Utilizing applications prepared by Information Technology, along with database, spreadsheet, other software programs, updates information and generates regular and ad hoc reports.
  • Develops new and special report formats and designs databases as required.
  • Conducts research for various reports as assigned by professional staff.
  • Gathers information from computer systems & web sites containing public records, reports, divisional files, etc.
  • Performs calculations and prepares detailed spreadsheets and reports.
  • Utilizes research software, client tracking system, and the internet to perform research and identify target domestic and international companies for high potential investment in Oakland County.
  • Assists in the research and collection of materials for client proposal packages and responding to request for proposals (RFP).
  • Using personal computer applications to compile and analyze data in response to specific questions and inquiries of professional or administrative staff.
  • Works with professional staff to develop databases and reporting systems that can be web-enabled.
  • Trains staff in the use of specialized departmental/divisional software applications and systems.
  • Attends new application orientations and software training sessions to maintain and update personal knowledge and retain the ability to effectively assist and train departmental personnel.
  • Keeps department informed of modifications in procedures, input/output reports, systems capabilities, and other related changes.
  • Participates in staff meetings as directed and documents proceedings.
  • Utilizes current Countywide and/or department specific software to complete assignments.
  • May work with Information Technology to resolve technical problems and request special assistance.
  • Resolves moderately complex problems such as troubleshooting computer system errors, making recommendations to enhance systems and improve reports.
  • Assists departmental personnel in the resolution of difficulties in the operation of their particular system.
  • Responds to various questions from the public, attorneys, and clients regarding general program information and processes.
  • Assists administration with special projects and/or events.
  • May order and maintain office supplies.
