About The Position

The Team Leader, HIM Data & Systems leads daily Health Information Management (HIM) operations and serves as the department’s Epic super-user. The role provides training and onboarding, develops workflow guides, and optimizes medical records processes across Epic and OneContent. It oversees chart deficiency management, data integrity, chart corrections, EMPI maintenance, chart reconciliation, document management, and physician deficiency follow-up to support timely record completion, coding, and release of information. The position is a primary support liaison for Epic end users and works with IT and leadership to address system and workflow issues. It also helps ensure compliance with HIPAA, Joint Commission, regulatory, and legal medical record requirements, participates in audits, and supports operational efficiency. Florida residency is required.

Requirements

Florida residency is required.
At least 3 years of experience in Health Information Management, medical records, or acute care healthcare operations.
Strong Epic proficiency.

Nice To Haves

RHIA or RHIT certification.
Associate degree in Health Information Management.

Responsibilities

Serve as the department’s Epic super-user by training staff, onboarding new hires, and creating workflow guides for system updates.
Assist the Supervisor with Epic HIM deficiency tracking and completion, hospital chart completion, chart tracking protocols, chart corrections, and Epic Identity.
Act as the primary support contact for Epic end users; identify Epic work-queue and application issues and communicate them to leadership and IT for resolution.
Promote efficient use of integrated Epic HIM workflows, including chart deficiency management and Identity chart correction.
Assess and resolve minor technical issues in Epic and OneContent work queues, using basic IT troubleshooting and HIM IT support as needed.
Monitor daily patient discharge lists, reconcile incoming medical records, follow up with clinical units on missing charts, and compile and distribute suspension and status letters.
Assign staff work for document preparation, scanning, and indexing into OneContent.
Resolve electronic overlay errors, misrouted documents, and conflicting patient information to maintain an accurate enterprise master patient index.
Analyze and resolve Epic chart correction cases and patient demographic overlays; merge patients and upload or delete scanned documents or pictures using Media Manager.
Ensure chart correction, unmerge, and electronic merge processes comply with HIPAA, Joint Commission documentation standards, and legal medical record requirements.
Investigate contact moves involving clinical data documented on the wrong patient or encounter and move documentation to the correct record according to policy.
Participate in monthly internal audits of physician compliance with Joint Commission and regulatory standards, including audits of forms, histories and physicals, and discharge summaries.
Monitor incomplete physician records and notify physicians until records are completed for release of information and coding and reimbursement needs.
Answer questions from nurses, residents, ARNPs, PAs, and physicians about Epic or OneContent deficiencies, or direct them to the appropriate contact.
Review Epic open, closed verification, and cardiovascular work queues; perform validation and reanalysis to confirm completion and remove deficiencies from the EMR.
Communicate with physicians and their office staff and encourage timely completion of delinquent records.
Collaborate with the Data Integrity Analyst and submit chart correction requests after troubleshooting and triaging them.
